Primary Purpose of the Organizational Unit

In support of the mission of UNC Greensboro, the University Registrar’s Office fosters student success and cultivates exemplary student experiences for all University constituents related to academic records, policies, and regulations.

Position Summary

The Assistant Registrar for Records and Graduation, as a direct report to the Associate Registrar for Policy and Operations, is a member of the Registrar’s leadership team and is expected to be an effective manager and an active participant in improving services throughout the university. The Assistant Registrar for Records and Graduation is primarily responsible for analyzing service requirements and coordinating the development and delivery of appropriate information and services, facilitating testing, documentation and training, and articulating new requirements and functionality due to system, policy, or procedural changes or efficiency improvements. Additionally, this position requires a solid understanding of how to leverage information and ideas to support student needs and the institution’s strategic goals and maintains knowledge of campus policies and procedures, as well as best practices, and works collaboratively across campus to maximize the effectiveness of services provided to students, faculty and staff.

Minimum Qualifications

Master’s degree from an accredited college or university, or a combination of education and experience.
Experience with degree clearance and Degree Works degree audit.
Experience using student information systems, preferably Banner 9.
Ability to learn and use specific software packages related to fulfillment of responsibilities, e.g. Argos, Banner, etc.
Strong commitment for innovation as demonstrated by the ability to be proactive, dynamic, forward-thinking, strategic and collaborative.
Demonstrated critical thinking, analytical, and problem-solving skills.
Strong verbal and written communication skills. Demonstrated ability to effectively communicate and foster collaboration with a wide variety of university clientele.
Excellent attention to details.
Three to five years of experience in a registrar’s, admissions, or academic advising role.

Additional Required Certifications, Licensures, and CertificatesPreferred Qualifications

Previous supervisory experience.
Academic Advising experience.

Records and Graduation Operations

Essential Tasks

Oversees all aspects of the academic record, primarily in Ellucian Banner.
Oversees all aspects of the undergraduate degree clearance process.
Oversees and coaches direct reports in the University Registrar’s Office and assists with setting the direction for the Records and Graduation team. Monitors performance and individual development of all staff and addresses training needs and provides career development opportunities such as workshops, seminars, and training programs.
Manages the creation and maintenance of the master production calendars for each awarding cycle and any associated documentation for dissemination in collaboration with the Associate Registrar for Policy and Operations.
Oversee all aspects of the development, maintenance, and alignment of Banner data to ensure accurate academic records.
In collaboration with Undergraduate Admissions and UNCG Athletics, oversee all aspects of NCAA certification for student athletes.

Essential Tasks

Provides leadership and direction in the Records and Graduation team to ensure the timely processing of academic standing, grading, registration controls for each term, transcript orders, and degree clearance.
Works proactively with the University Registrar, Associate Registrars, Assistant Registrars, central departments, academic units, and university leadership on changes to business processes and implementing policies.
Represents the Office of the University Registrar in the university community to ensure regular transparent communication regarding policies and procedures.

Business Process Management

Essential Tasks

Coordinates and facilitates ongoing training of end users in all Banner, National Student Clearinghouse, transcript vendor/processing, Student Data Mart which includes producing and maintaining training materials and communicating software enhancements, changes, production schedules, and deadlines to department schedulers and editors.
Performs system maintenance, tests software updates, and troubleshoots issues as necessary in Banner 9.0, National Student Clearinghouse reporting, Student Data Mart, and transcript vendor, and Argos.
Collaborating with the Associate Registrar for Policy and Operations, the Assistant Registrar will assist with developing business continuity documentation and best practices to support students, faculty, and staff in using tools that supports academic records and graduation.
Serving as back-up to the Associate Registrar for Policy and Operations, to include but not limited to attending meetings as needed.
