Higgins School of Humanities

Part-time/ 30 hours/10-months

Clark University’s Higgins School of Humanities seeks to fill the position of Program and Budget Coordinator. Reporting to the Director, the successful candidate will oversee the development and maintenance of the yearly budget and manage programming logistics. This individual works independently in these roles and collaborates with the Associate Director and faculty Director to support strategic goals for the Higgins School.

Duties and Responsibilities

Budget Management, including an endowment fund as well as various grant funds

•Develop fiscal budget plans.

•Participate in strategic planning and oversee financial goals in regard to programming, courses, grants, and make budgetary recommendations to director.

•Communicate with Business & Financial Services and other campus constituents regarding compliance with Clark University accounting policies.

•Process teaching stipends, honoraria, and other compensation as needed.

•Submit invoices and reimbursements using SmartBuy Plus.

Program Management (Planning and Implementation)

•Create and execute logistical plans for events.

•Collaborate with campus partners such as Media Services, Catering, and Facilities Management, and the campus bookstore.

•Event budget and contract management.

•Coordinate travel arrangements for guest lecturers.

•Participate in programming planning sessions.

•Attend up to 12 day and evening events per semester.

Higgins Grant Program Administration

•Oversee the Higgins School’s internal grant program for Humanities faculty which includes annual major grant and course linking grants as well as a rolling cycle of mini-grants throughout the year.

• Track trends in grant activity and make recommendations during annual fiscal planning.

• Communicate with faculty to distribute funds and coordinate reimbursements.

• Maintain grant records.

• Monitor individual grant budgets.

• Communicate grant policies and oversee compliance.

Office Management and Operations

•Order office supplies and oversee maintenance of office equipment.

•Work with Registrar Office and use Acalog to list Higgins School courses each semester.

•Oversee the maintenance and booking of two department owned spaces.

•Hire and manage student employees as needed.

Additional Responsibilities

•Support the faculty Director and Associate Director of the Higgins School as needed.

•Preserves and maintains institutional knowledge through transactions of faculty directors.

•Support Higgins’ collaborations with humanities faculty across Clark

•Maintain communication and working relationships with on- and off-campus partners.

•Other miscellaneous duties as needed.

Qualifications

•3+ years’ experience preferably higher-ed or a non-profit setting

•Bachelor degree, required.

•Familiarity with budget processes

•Ability to attend scheduled evening events, throughout the semester

•Proficiency with Microsoft Word and Excel;

•Familiarity and/or capacity to learn procurement software (SmartBuy Plus); Academic course planning system (Acalog); and event scheduling platform (EMS)

This position requires the following skills and attributes:

•High level of professionalism in an environment that is at times fast paced

•Aptitude for strategic planning and problem solving skills, discretion and discernment

•Ability to flourish in a small collaborative environment with flexibility and versatility

•Excellent communication skills and ability to manage on- and off-campus relationships

•Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus

This is a part-time, 30 hours per week, 10 month position.
