Position Summary:

Florida Atlantic University is seeking a Graduate Medical Education Institutional Program Manager , Boca Raton, FL.

The Graduate Medical Education Institutional Program Manager (GME Program Manager) provides a wide range of complex administrative functions to support the mission and goals and objectives of the FAU College of Medicine’s office of GME and the residency and fellowship programs it supports.

The Graduate Medical Education Institutional Program Manager reports directly to the Director of GME. The GME Program Manager works in collaboration with and under the direction of the GME Director and the Designated Institutional Official [DIO] to establish and maintain all essential institutional Graduate Medical Education requirements, outlined by the ACGME and FAU.

Summary of Responsibilities Include:

  • Prepare documents and reports for various agencies
  • Compose confidential, complex and substantive GME correspondence.
  • Oversee, provide guidance, and coordinate with GME residency and fellowship programs on trainee recruitment and selection processes, including distribution of related policies, approved materials, and information technology systems access.
  • Coordinate with the program specialist and /or managers to execute the on-boarding processes, including background checks, visa and document verification, Workday on-boarding, hospitals credentialing processes, etc.
  • Maintain confidential files/records of current and former trainees, as well as and GME staff; track former trainees and provide training and employment verifications to outside agencies, as required.
  • Monitor programs for compliance with ACGME requirements and communication of any issues to Program Directors and Administrators.
  • Manage electronic information systems related to collecting and storing program data, assuring accurate documentation, including ACGME Web ADS, Workday, NRMP ERAS, AMA FREIDA, GME Census, etc.; generate scheduled and ad hoc reports for DIO, GMEC, Consortium Board or other agencies as required.
  • Manage FAU GME website; assure accuracy of and update content as required.
  • Assist with the creation, coordination and implementation of institutional and program evaluations (Annual Institutional Review (AIR), Annual Program Reviews (APE), Clinical Learning Environment Review (CLER), other central GME activities].
  • Assist with the maintenance of the Institutional policy and operations manual, including the creation, review and revision of institutional policies and procedures.
  • Arrange and facilitate staffing of all institutional GME meetings and conferences, including Graduate Medical Education Committee (GMEC), Consortium Board of Director meetings, Program Coordinator meetings, etc.; this includes preparation of reports, agendas, handouts, attendance sheets, reminders, and minutes, etc.
  • Organize and assist with key GME program activities, including receptions, orientation events, and other special events as needed.
  • Maintain specific functions and modules in the Residency Management Software system, MedHub, and audit trainee compliance.
  • Manage the digital bulletin board with current announcements.
  • Provide GME office operations administrative support such as answering and screening telephone calls and visitors.
  • Maintain the calendars of the GME office and Designated Institutional Official (DIO) and coordinate with the Calendar of the GME Director and other stakeholders as required; coordinate scheduled and ad hoc meetings, special events, and other activities.
  • Perform other related duties and projects as assigned by the GME Director, DIO, or Dean.

Minimum Qualifications:

Bachelor’s degree from an accredited institution and four (4) years of appropriate experience; a high school diploma or equivalent and five (5) years of experience in graduate medical education (GME) required.

C-TAGME certification and/or applicable Bachelor’s degree or higher qualification preferred.

This position requires a high level of professionalism, dependability and ability to work independently, work under pressure, adjust to constant change, exercise independent judgment, manage multiple relationships and priorities, plan and organize work efficiently and accurately, communicate effectively and in a professional manner with all levels and maintain a high level of confidentiality; strong interpersonal, communication, customer service and organizational skills are required.

Advanced proficiency in Microsoft Office applications, electronic and online communication and the ability to learn and apply new computing skills are required.

Ability to establish and maintain excellent working relationships with a diverse environment of learners, faculty and staff, as well as the ability to work effectively as part of a team are important.

Budgeting and bookkeeping experience preferred.

Adaptability to a growing and changing environment.

Salary:

$55,000 - $65,000
