Overview

The Department of Sociology seeks an experienced professional to provide a broad range of organizational and clerical assistance to members of the department, visitors, and members of the university community with whom the department interacts.  Reporting to the Department Manager, the assistant will be the first point of contact for department faculty, students, and visitors and will perform a variety of administrative functions while managing multiple and competing deadlines and priorities.   

 

Responsibilities

Responsibilities include, but are not limited to general office duties such as reception, purchasing, preparing and sending correspondence, mail distribution, maintaining online mailing lists, reserving department conference rooms, and assisting faculty and staff with day-to-day tasks when needed and as directed by the department manager. 

 

This position will also serve as the primary support person for department workshops and events which includes reserving rooms, assisting with travel, working with the department’s business manager to prepare payments, reimbursements and honoraria and working with the faculty organizer and department manager to schedule speakers.

 

Qualifications

A minimum of one to three years of experience in an office setting, preferably in higher education, is required.  An Associates or Bachelor’s degree is also preferred but not required.  The person in this position should have strong interpersonal and communication skills (both verbal and written), the ability to exercise good judgment, discretion and diplomacy, and be able to work cooperatively with a wide variety of campus offices.  Strong organizational and prioritization skills and attention to detail is a must as is the ability to work independently, take initiative, and meet deadlines.  Must be proficient with Microsoft applications and willing to learn other programs and business applications used by the university such as concur, peoplesoft, blackboard, and sharepoint.
