Job Description

Summary: The Legal Assistant provides administrative and clerical support to attorney(s) in order to enhance office effectiveness and facilitate the delivery of legal services.


Responsibilities:

Core Job Functions:

Administers attorney(s)’ calendar, makes scheduling arrangements, and orchestrates travel plans as necessary. Collects, researches, organizes, and analyzes data, documentation, legal precedent, and applicable statutes. Composes and edits internal correspondence. Prepares and processes legal documents, such as summons, complaints, appeals, motions, and settlements. Makes photocopies of correspondence, documents, and other printed matter. Mails, faxes, emails or arranges for delivery of legal correspondence. Organizes and maintains law libraries, documents, and case files. Answers telephones, takes messages, answers routine questions, and transfers calls to appropriate staff. Greets visitors, handles their inquiries, and directs them to the appropriate personnel. Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions:

Under minimal supervision, manages attorney and faculty calendars; makes scheduling arrangements involving multiple parties; and makes travel arrangements. Completes assignments requiring the collection and organization of data, and may provide analysis, presentation and publication materials; reviews legal publications; performs routine database searches to identify laws and court decisions relevant to pending cases and classes. Composes and edits internal correspondence and documents or selects standardized formats, designs presentations and may create drafts of legal correspondence and department publications; provides routine and general clerical support which may include reports and statistics; prepares and processes legal documents and papers, such as summonses, complaints, appeals, motions and pretrial agreements. Makes photocopies of correspondence, documents, and other printed matter; mail, fax, or arrange for delivery of legal correspondence to clients, witnesses, and court officials. Organizes and maintains documents, and case files. Prepares eBERF’s, eCheck; other reimbursements Via Workday; coordinates books, conferences, seminars, courses, makes hotel and travel arrangements. Works with Master Calendar in securing venues for events, meetings, lectures, etc. Answers telephones, take messages, answers routine questions, and transfer calls to appropriate individuals. Greets visitors and callers, handles their inquiries, and directs them to the appropriate person(s) according to their needs. Supports faculty associated with the Clinics to which the Legal Assistant is assigned with administrative tasks related to courses, scholarship and students; may provide ancillary support to physicians, clinical activities, business services, student services, etc.

Education/Experience:

Associate’s Degree and minimum of 1-3 years’ work related experience in a law office. Bachelor’s degree preferred. Paralegal certificate or equivalent experience desirable.

  • Excellent Customer Service Skills (written and oral); Spanish language (oral and written) proficiency required; ability to translate written and oral communication from Spanish to English –English to Spanish. Haitian Creole or French a plus; ability to multi task various tasks/projects.

  • Must be proficient in the use of Word; Outlook; Excel; Internet Explorer; PowerPoint; Adobe; a working knowledge of Westlaw preferred; administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology;

  • Knowledge of routine office practices and procedures; knowledge of laws, legal codes, court procedures, precedents, government regulations, executive orders, agency rules, and the democratic political process.

  • Knowledge of principles and processes for providing customer and personal services; knowledge of simple data processing and transmission principles; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; ability to understand and follow oral and written instructions. Ability to understand written sentences and paragraphs in work related documents. Ability to manage one’s own time and the time of others; excellence in time management and organization, prioritization and triaging tasks. Ability to work in a face-paced environment and completing assignments accurately and with attention to detail.

  • Requires attentions to detail and understand verbal and written instructions; asking questions as appropriate.

  • Ability to communicate effectively in writing as appropriate for the needs of the audience; ability to understand the implications of new information for both current and future problem-solving and decision-making; ability to talk to others to convey information effectively; using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems; data entry.

  • Will handle confidential information with discretion and professionalism;

Excellent customer service, communication, and interpersonal skills are also required.
