Special Information

This is a full-time position located in Phoenix, Arizona with some nights, weekends and extended out of town travel. This position will include 1-2 Saturdays per month. This position will require in-state travel.

Job Description
This position operates out of the Arizona K12 Center, which is located in Phoenix, Arizona, and provides support to the overall operations of the Center. Responsibilities include:

 

  • Logistical coordination of meetings, trainings, and events related to the professional learning provided by the Arizona K12 Center. This includes, but is not limited to, providing logistical support, material preparation, equipment packing and unpacking, participant and trainer assistance, coordinating details in relation to venues, catering, audio visual, accommodations, transportation, trainers, and speakers.
  • Seek venues for event purposes and develop RFQs to ensure fiscal and programmatic accountability.
  • Develop, update, and report out on budget financial sheets for assigned events.
  • On-going communication with clients and trainers to ensure program logistics and needs are adhered to. Work with staff to facilitate and reconcile participant registrations and fees. Manage event and attendee information using the Center’s content management system.Create event flyers and update templates with event related information. Event set-up/tear down and on-site support for assigned events.Use of social media to promote and highlight events.Coordination of materials for work agreements and partner booths. Assist with Arizona K12 Center onsite event space reservations by outside groups. Work collaboratively with other coordinators, supporting with other’s events as needed.Maintain organization and cleanliness of assigned onsite event spaces including inventory of equipment.Coordinate available resources to best achieve the goals and objectives of the Arizona K12 Center. Work closely with the Associate Director of Operations and the Fiscal Operations Manager to ensure programmatic and budget accountability. Meet regularly and work in collaboration with Project Director of assigned events to ensure event meets intended outcomes.Provide front desk and phone support as needed.Provide back-up to Office Manager and support to Associate Director of Operations.
  • Adjust to changing needs of university operations, federal policies, or needs to provide specialized or individualized reports.
  • Attend university training as well as stay current with related and relevant policies.
  • Other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree in field appropriate to area of assignment.
  • Three years experience planning and coordinating multiple projects.
  • An equivalent combination of experience, training, and/or education.


Preferred Qualifications

  • Experience planning and coordinating events.
  • Experience working with diverse groups and K12 educators.
  • Experience working in a fast-paced, team-oriented environment.
  • Proficient knowledge/use of Mac platform.

  • Ability to drive a cargo van and/or small box truck.
  • Able to move and transport laptop carts containing upwards to 30 laptops each, lift a minimum of 25 pounds, and tape down power cords at event venue.
  • Commitment to providing exceptional customer service.
  • Knowledge of university procurement policies.
  • Demonstrated ability to work collaboratively with different constituencies and ability to work with individuals or groups with diverse backgrounds and experience levels.

 


Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check.

Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.

 

Finally, each year the Northern Arizona University Police Department releases an annual security report. The report is a result of the federal law known as the Clery Act and contains policy statements that address the school’s policies, procedures and programs concerning safety and security including policies for responding to emergency situations and sexual offenses. The report contains three years of data for Clery reportable crime statistics for the campus along with the most current year’s Fire Safety Report, which includes policy statements and fire statistics for Flagstaff on-campus student housing.

Salary

The budgeted salary amount is $45,000 - $52,000.

 

Commensurate with experience.

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.

 


FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. If a new employee chooses the ASRS retirement option, participation in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, will begin on the first of the pay period following 6 months after the new employee's start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of employment. Additionally, the long-term disability plan that accompanies the ORP will begin on the first day of employment.
