Duties and ResponsibilitiesPRIMARY OBJECTIVE: The Office of Transfer and Articulation relies heavily on the efficient use of several systems. This position will serve as the functional leader and manager of several systems used to serve students and transfer throughout the district. 
DUTIES & RESPONSIBILITIES: 
  • Recruit, select, train, and supervise seven faculty members who will serve as faculty trainers at each of the seven campuses in the use of the GradesFirst system. 
  • Supervise administrators of other transfer and student support systems as needed. 
  • Serve as district-wide functional administrator for transfer and student support systems. 
  • These systems include but are not limited to: u.select (Transferology), the Transfer Evaluation System or TES, GradesFirst, Degree Audit, the ACE Military credit systems, and International transfer credit evaluation systems and business processes. 
  • Create and maintain training materials for transfer and student support systems. Provide ongoing leadership and support for transfer-related systems and transfer business processes, district-wide. 
  • Manage Transfer Evaluation System (TES) from the district level. 
  • Standardize usage; integrate practices with ERP for degree audit purposes; and assist in management of district-wide committee about course articulation. Add users at administrative level. 
  • Coordinate with the U.select (Transferology) system. 
  • Manage and create new content for Transfer and Articulation presence on the CCC web site, in social media sites related to Transfer and Articulation, in publications, and in new systems that support transfer. 
  • Work with Executive Director to plan and oversee the implementation of articulation and transfer agreements. 
  • This will involve public relations work with representatives from other colleges concerning articulation and transfer agreements and most often involve integrating other college systems with CCC systems. 
  • Manage District's presence in u.select (Transferology) Illinois. 
  • This includes providing catalog updates, course equivalence integration, and integration with CCC web site. 
  • Work with Executive Director and Registrars to establish and maintain a process to accommodate reverse transfer of credits.  
  • erve as liaison with OIT, software vendors, and users for multiple software systems including but not limited to: u.select, TES, GradesFirst, Degree Audit, International and ACE Military transcript evaluation, and web tutorial software vendors. 
  • Manage the integrated use of these systems across the district to make transferring courses in or out of CCC a smooth process. 
  • Design new business processes in conjunctions with users as new systems are introduced to the support of student success and transfer; example: new business process for assessment of prior learning to assign transfer credit. 
  • Performs other duties as assigned. 
  • Adheres to City Colleges of Chicago Customer Service Excellence Standards.


QualificationsQUALIFICATIONS: 
  • Master’s degree in Counseling, Education, Business/Public Administration, Computer Science or related field. 
  • Three to five years of progressively responsible experience in working with college advising, student support systems such as PeopleSoft, TES, GradesFirst, u.select), web tutorial tools (example: Camtasia or Blackboard Illuminate). 
  •  Excellent writing and verbal communication skills. 
  • Must be able to effectively represent the college, and District, at various meetings.Ability to work independently and meet deadlines in a timely manner.
  • Must be able to work well with employees at all levels of the organization, as well as with students and other customers. 
  • Must be able to handle all situations with tact and diplomacy. 
  • Supervisory experience highly preferred. 
  • Willingness to work irregular hours including nights and/or weekends.
