The Child Welfare Training and Advancement Program (CWTAP) within the School of Social Work and Criminal Justice has an outstanding opportunity for a PROGRAM COORDINATOR . This individual, under the general direction of the CWTAP Director, will provide administrative support to the Director and the Field Instructors (FI’s) who are out stationed at 6 practicum sites which are located at the Department of Children, Youth and Families (DCYF) Child Welfare Program offices in Bremerton, Shelton, Tumwater, Lakewood, Puyallup and Tacoma. This position will share time between UWT and the Puyallup DCYF office however will provide support to all of the designated CWTAP DCYF offices. Position has extensive involvement with students, staff, grant partners and the public in carrying out program activities.

GENERAL RESPONSIBILITIES:
Office and Records Management:
  • Provide administrative support to the Director and FI's in supporting their needs within the program and at their sites;
  • Coordinate with Director and FI's on syllabi, quarterly practicum guides, educational seminars, meetings, etc.;
  • Create and maintain electronic documents, databases and hard copy filing systems;
  • Compose correspondence and printed materials related to the CWTAP, edit materials for accuracy, appearance, readability and style;
  • Compile and track CWTAP information (i.e., student information for tuition payment, enrollment forms, field placement, student recruitment, admissions, alumni information);
  • Maintain FI logs and master log of all certifications approved by the Title IV-E Specialists (electronic / hard copies). Request re-certifications every 6-months;
  • Manage and track CWTAP computers, scanners, printers and peripherals at UWT and DCYF practicum sites;
  • Create and distribute original (hard copy) of student files to CWTAP Seattle office, create and maintain hard copy student files for UWT;
  • Maintain the CWTAP shared (S) drive;
  • Help organize and deliver annual Student Institute conference;
  • Maintain and update content on UWT CWTAP webpage.

    Student Services:
  • Field questions from students, DCYF staff and the general public regarding CWTAP;
  • Assist with student admission process, coordinate information sessions, review application packets, schedule interviews, process application documents and background checks, coordinate contract signing, forward application materials and contractual documents to Fiscal Specialist;
  • Maintain the CWTAP student information database (Access) at UWT.

    Fiscal and Administrative Support:
  • Assist in quarterly student tuition disbursements, including tracking and monitoring of each student’s total amount disbursed;
  • Provide students with quarterly statements of individual financial commitment to CWTAP;
  • Assist in monitoring CWTAP budget and reconciliation via My Financial Desktop, and maintain accurate records which fulfill University record retention requirements;
  • Arrange CWTAP travel for Director, FI's, staff and students and process travel reimbursements for self, FIs and students;
  • Reconcile UW “ProCard” (credit card) monthly for any expenses incurred.

    MINIMUM QUALIFICATIONS:
    High school graduation or equivalent AND two years of experience supporting an academic training program to include:
  • Providing administrative support to a team;
  • Working with budgets;
  • Working with a diverse population;
  • Excellent project management skills are essential to this position to include: effective time management, critical thinking and information gathering;
  • Excellent oral and written communication and strong customer-service skills;
  • Ability to develop effective working relationships among staff, faculty, students and other members of the UW Tacoma community;
  • Intermediate knowledge of Microsoft Office products (Outlook, Word, Excel, Access, PowerPoint and Publisher), Adobe Acrobat Professional and Internet proficiency

    OR Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    DESIRED:
  • Bachelor’s degree
  • Experience with University of Washington Student Data Base, MyGrad Program, Business Intelligence Portal, Ariba and other online University administrative systems.
  • Experience working with Microsoft Photoshop and Publisher
  • Knowledge of UWT curricula, policies and procedures.
  • Understanding of DCYF roles and responsibilities.

    CONDITION OF EMPLOYMENT:
  • This position requires travel and the successful candidate will need a valid Driver’s License and reliable transportation.
