The primary function of the Recruitment Coordinator is to provide support to the Crummer Graduate School of Business Admissions Office by coordinating and performing a range of activities in support of the recruitment, enrollment, retention and administration of all graduate programs. The Recruitment Coordinator is the first point of contact with all applicants entering the Admissions Office and is also responsible for answering the general inquiry telephone number and email address (requiring excellent communication skills).

Primary responsibilities include:

  • Greeting applicants, guests and visitors, providing information and hospitality, and answering the main departmental phone line, routing calls, answering general admissions questions and coordinating telephone coverage at all times for the admissions office
  • Maintaining inventory of program print materials such as marketing materials information, etc.
  • Collecting data for mass mailings to prospective students involving retrieval and processing of data from ETS, GMAT,GRE, etc. on a regularly scheduled basis, and when special requests are made
  • Uploading and monitoring admissions files in the application CRM, Slate; communicating with applicants (via telephone, email and in person) to ensure attainment of all needed records, ensuring all documents are in compliance with audit guidelines
  • Performing records and registration functions, including processing of application fees and deposits, posting information to Banner and forwarding new student packages
  • Notify recruiters when application files are ready for review; follow up as needed and schedule all applicant interviews with candidates and appropriate interviewers
  • Prepare and provide all correspondence (paper and electronic) to applicants including admissions decision notifications
  • Collect data, prepare reports and disseminate information to institutional departments regarding special student populations (such as scholarships for Financial Aid Office, Office of International Students and Scholar Services (OISSS), Accelerated Management Program (AMP), Student Services and others as necessary)
  • Scan incoming mail daily for content (must have the ability to recognize and take appropriate steps to handle all urgent and time sensitive issues)
  • Coordinate prospective student class visit schedules with faculty
  • Working closely with the Recruitment Manager, and Slate Operations Manager and Assistant Manager to maintain accurate records in the CRM
  • Attend graduate school fairs, information sessions and other recruitment related events, engage prospective students, school representatives and present about the MBA and other graduate programs as needed
  • Adhere to all College policies and procedures and federal, state, and accrediting agency rules with respect to recruitment
  • Performing related duties as assigned

Minimum Qualifications:

  • Bachelor’s degree required
  • Minimum of three years administrative support experience preferred, preferably in college admissions or a corporate recruitment setting while handling highly confidential and sensitive information
  • Must have excellent computer, grammatical and editing skills, as well as verbal and interpersonal communication skills to interact effectively with individuals at all levels
  • Ability to take responsibility for assigned projects from beginning to completion with attention to detail and accuracy
  • Must be able to meet deadlines and work independently with minimal supervision
  • Proficiency with personal computers and related software such as MS Word, PowerPoint, Access, and Excel; data access and reporting skills
  • Proficiency in searching information on a variety of Internet, library based and other database systems
  • Excellent knowledge and practice of organizational and time management skills; attention to detail and follow through
  • Excellent oral and written communication skills to maintain and update files, logs, reports, and general correspondence
  • Basic accounting functions and math computational skills sufficient to order supplies, process invoices, etc.
  • Ability to handle multiple tasks simultaneously
  • Must be able to sit or stand for long periods of time; type and read on a computer; communicate in person, telephone and in writing
  • Ability to stoop, reach, push and pull, as well as look at computer screens for extended periods of time
  • Overtime and flexible scheduling as needed, i.e. weekends and some evening hours
  • Must be able to travel and participate in work-related events (local and domestic); work flexible hours which includes evenings and weekends as needed; and work in a fast paced environment
  • Must possess a valid Florida driver’s license, accessible transportation and a good driving record to attend work-related events
