Duties:
Monitors and reconciles grant expenditures for compliance; identifies incorrect transactions; initiatives or recommends corrective actions as needed. Works closely with payroll and procurement group to ensure charges are allocated to appropriate grant funds. Meets regularly with investigators, Business Office grants staff, and Program Manager. Works to improve customer service to investigators, and the efficiency and accuracy of grants management and administration. Coordinates travel arrangements; develops various itineraries; processes expense reimbursements and payments for TLL Division faculty and external visitors; requests purchase orders and initiates other procurement methods. Organizes sponsored workshops and other meetings. Delegates tasks to two administrative assistants as necessary.
Qualifications
Bachelor's Degree with 2-3 years of related experience or equivalent combination of education and experience is required.
- Proficiency in Microsoft Office Suite, including Excel, is required
- Excellent critical thinking, analytical skills, and verbal and written communication skills are required
- Ability to apply solid organizational and time management to a deadline driven, multiple priority work environment is required
- The ability to be comfortable working in a frequently changing environment, and to function as part of a team, is required
- Experience with Concur and Qlikview preferred
- Experience with Adobe applications preferred
- Familiarity with UPENN sponsored research policies and related financial systems preferred
- Experience with NIH, NSF and other federal granting agencies preferred
This position requires a candidate who exhibits an engaged and responsible attitude and possesses the ability to work effectively with both faculty and staff members. We are seeking a candidate possessing a pro-active work style with strong follow-up skills. This position requires the ability to work well under pressure. The successful candidate should clearly demonstrate attention for detail, highly effective interpersonal skills and the ability to enforce grant guidelines with constituents in a professional, diplomatic and assertive manner.
Strong proficiency in spreadsheet and word processing; experience in university financial and research administration accounting systems preferred. Demonstrated excellent interpersonal and communication skills; team oriented.
