Position Summary

This is a full-time, benefited position, responsible for advanced office management and administrative work requiring initiative and independent judgment. Tasks include general office management, reception of visitors and answering of telephones, assisting faculty and students with course needs and bureaucratic challenges, managing mail services, and event management. Incumbent is also responsible for managing departmental processes (tenure reviews, hiring procedures, scheduling lectures, requesting classrooms and meeting rooms, processing reimbursements, maintaining student files, processing admission to the BSAcc and the awarding of scholarships, etc.) and monitoring departmental budgets. Incumbent may have contact with high level administrative offices requiring use of business vocabulary, tact, discretion, and judgment. Incumbent will assist director with day-to-day operations, special projects, and contacts with industry professionals and alumni.

The person holding this position will perform varied advanced office management and administrative work unique to the work unit requiring initiative and independent judgment. Incumbent works independently under general direction and handles problems and non-routine situations by determining the approach or action to take and interprets guidelines, procedures, policies, and practices. Must provide excellent service to students, faculty, and staff from diverse backgrounds, including but not limited to those from historically underrepresented and/or marginalized communities, and promote the values and practices of inclusive excellence, especially with regard to issues of gender, sexuality, and other intersecting identities.

Knowledge, Skills, and Abilities

  • Exceptionally strong English language written and verbal communication skills.
    Thorough knowledge and understanding of business English, ability to communicate with confidence and poise, and ability to handle complaints professionally.
  • Experience with budgets and/or bookkeeping is valuable. The employee must have the ability to perform basic mathematical calculations in order to process financial transactions, including direct pays, purchase orders, and purchasing card reports. Must be able to classify expenditures by activity unit.
  • Ability to independently exercise sound judgment, tact, and diplomacy; strong problem solving skills; organization and prioritization of tasks that are assigned.
  • Ability to comprehend and follow complicated written and oral instructions.
  • Ability to learn and understand new information and processes quickly, generate new ideas, and propose new approaches to accomplish tasks. The individual must handle changes to plans, monitor progress of tasks and redirect efforts to keep things moving.
  • Intermediate knowledge of MS Word, Excel, PowerPoint, Outlook. Willingness and ability to learn new software applications quickly. Must keep technology skills current.
  • Keen attention to detail.
  • Type 40-50 wpm.
  • Knowledge of standard office equipment and University software.
  • Strong organizational and inventory management skills.
  • Excellent ability to prioritize.
  • Strong interpersonal skills: tact, discretion, and professionalism are required.
  • Strong ability to work cooperatively with students, faculty, staff and the public.
  • Self-starter, able to work independently or work well with others as part of a team.
  • Must manage and develop self and have a passion to learn and improve skills.

Required Qualifications

  • High School Diploma
  • 2 years work experience in an office support role
    • Bachelor's degree can substitute for two years of professional experience

Preferred Qualifications

  • Bachelor's Degree
  • 3-5 years work experience in and office support role
  • Experience in an administrative role in a university setting
  • Experience in technical writing, graphic design, marketing, and project management
  • Microsoft certification in Office suite products
  • Experience with additional software products such as Banner, Adobe, Qualtrics, Canvas, project management and database applications
  • Experience working with an ERP system
  • Experience with social media

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Hourly Range:
