Job Description

Working under own initiative and with limited supervision, specific responsibilities include:

 

Administrative Support Activities:

  • Receives and screens telephone calls and visitors, assists visitors with program information and makes referrals to other office personnel
  • Explains program policies and procedures to students, faculty, staff, and outside entities
  • Prepares program materials for teachers, administration, and students, including registration, testing, orientation, scheduling, and outreach
  • Prepares and assists with administration of evaluations and surveys and compiles responses
  • Prepares agendas and takes meeting notes for administrative and faculty meetings
  • Assists teachers with equipment, materials, copies, and other clerical needs
  • Supervises student workers, including training, evaluating, scheduling, and assigning tasks
  • Maintains administrative calendar with testing dates, orientations, and other semester deadlines

Correspondence/Communication:

  • Composes confidential correspondence regarding attendance, enrollment, and requests for records
  • Checks and responds to email in PIE email account daily
  • Communicates with the NAU’s CIE regarding testing, orientation scheduling, and attendance
  • Answers students’ questions and directs them to university services as needed
  • Maintains social media presence

Record keeping/Purchasing:

  • Enters and approves hourly employee pay in PeopleSoft
  • Schedules classes, rooms, and orientations 3-4 times per year
  • Schedules class sections and inputs grades in LOUIE
  • Manages teacher and course information in PIE Student System
  • Monitors and tracks student attendance from teachers and provides accurate attendance reports and letters on a weekly basis
  • Serves as purchasing card Reconciler and Approver for program
  • Provides administrative support for department travel and processes and maintains travel documents according to NAU policy
  • Makes interdepartmental purchases for program events and trips, and manages purchases for building, classrooms, and office supplies
  • Trains teachers on resource check-out procedures and copier use
  • Maintains copy codes for all staff and teachers and monitors copy machine use
  • Maintains student records

Building Manager:

  • Submits work orders for building maintenance and repairs
  • Serves as caretaker of equipment within the building and building keys
  • Maintains welcoming environment for employees, students, and visitors
  • Schedules events in building and processes event requests

Performs additional tasks as assigned.

Minimum Qualifications

  • Bachelor’s degree in Business or field pertinent to work unit AND one year of directly related administrative experience; OR five years of directly related administrative experience; OR, any equivalent combination of experience, training and/or education.

 


Knowledge, Skills, & Abilities

  • Knowledge of office and administrative practices and principles.Skill in the use of personal computers and software, specifically MS Office products.Ability to problem solve and make independent decisions.Ability to effectively communicateExperience in administrative and/or financial support in educational programs or college/university settingsExperience in software and web-based programs currently used at NAU, such as PeopleSoft for HR and payroll, and PeopleSoft Financials.Experience in database entry and managementExperience in scheduling activities for multiple individuals and resourcesDemonstrated experience in working effectively with people from a variety of culturally diverse backgrounds, especially individuals who are not native English language speakers

 

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check.

Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.

 

Finally, each year the Northern Arizona University Police Department releases an annual security report. The report is a result of the federal law known as the Clery Act and contains policy statements that address the school’s policies, procedures and programs concerning safety and security including policies for responding to emergency situations and sexual offenses. The report contains three years of data for Clery reportable crime statistics for the campus along with the most current year’s Fire Safety Report, which includes policy statements and fire statistics for Flagstaff on-campus student housing.

Salary

This position's pay grade is 42. The salary range for this paygrade can be found on the CLS Grade Schedule.

 

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.

 


FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

This is a Classified Staff (CLS) position.
