DescriptionThe Student Life office located on the Decatur Campus of Georgia State University seeks an Administrative Specialist to provide support in the following areas:

Financial management -

Maintains department budgets and related items by preparing and submitting for timely processing - purchase requisitions, budget transfers, and other expenditures; securing documents such as attendance logs, receipts, fliers and agendas as needed for budget expenditures; utilizing the state purchasing card and processing reports; and performing data entry of detailed budget transactions and reconciling logged expenditures against Georgia State University Budget Reports. Maintains shadow budget for all budgets related to the Office of Student Life. Assist Advisors with Student Activity Fee (SAF) preparations and developing necessary paperwork for SAF hearings and deliberations.

Prepares and submit monthly activity reports, reconciliation reports and shadow budget reports. Maintains departmental budgets and related items by preparing and submitting reports in timely manner. Works closely with student clubs, organizations and their club advisors to ensure proper processing of financial paperwork and efficient program implementation.

Task management -

Assists with campus events and functions as related to Student Life. Assists the Coordinator or Assistant Director with special projects. Serves and participates on campus and college-wide committees.

Coordinate travel and arrangements for training retreats (including site reservations and travel}, student and staff participation in regional and national conferences. Process expenditures and travel documents for the Office of Student Life and all clubs.

Provides assistance in the area of personnel management by coordinating the selection, interviewing, hiring, and orientation processes for student employees, and provides operational supervision of federal student work study employees. Complete eligibility verification for student leaders (using Banner) and initiates Actions for Fee Based Payments related to programming activities. Provides operational supervision and coverage for the Information desk and office front desk.

General office management -

Provides organizational and clerical assistance which includes, greeting visitors, answering telephones, room reservations, submitting facility work orders, maintains service contracts on office equipment and maintains the office supply inventory and places supply requests. Completes eligibility verification for student leaders (using Banner.)

It is essential that the person is able to multi-task in an ever changing environment while prioritizing the needs of the office.  Ideally, the candidate for this job is resourceful, detail oriented, as well as a good problem solver.  This position reports to the Assistant Director of Student Life and supervises several student employees. 






QualificationsBachelor's degree and two years administrative experience; or a high school diploma or GED and six years administrative experience; or a combination of education and related experience.

The Georgia State Panthers are members of the Colonial Athletic Association and compete in 16 NCAA Division I intercollegiate men’s and women’s sports, including basketball, baseball, softball, golf, tennis, track and volleyball. The university announced in April 2008 that is will begin Division I-AA football in 2010.

The university’s innovative Touch the Earth program brings outdoor recreation ranging from backpacking, rock climbing, sailing, kayaking, rafting and water-skiing to out-of-state snow-skiing and snorkeling trips. And WRAS, Georgia State’s popular 100,000-watt radio voice, is the most powerful student-run radio station in the United States.
