Responsible for providing operational support for sponsored research programs, processes and activities within the Office of the Provost and Sr. Vice President for Academic Affairs. This includes external grant activities, and assisting with other sponsored research committees (IRB, IACUC, and Biosafety). Coordinate and manage the review processes for the All-College Tenure and Promotion Committee, the Faculty Personnel Appeals Committee and the Grievance Committee; advise candidates involved in the tenure and promotion, appeals or grievance process of guidelines, timelines, and other issues surrounding their candidacy. Provide administrative and operational support within the Office of the Provost and Sr. Vice President for Academic Affairs and assist with special projects as assigned.

Position/Job Responsibilities

1.Administrative support for the Associate Provost for Faculty Affairs.

2.Coordinate and manage the review processes for the All-College Tenure and Promotion Committee, the Faculty Personnel Appeals Committee and the Grievance Committee. Ensure the committees adhere to the appropriate governance guidelines and timelines. Draft correspondence and provide logistical support for the committees to meet, deliberate, and convey decisions.

3.Provide assistance and support to the Associate Provost for Faculty Affairs in the management of tenure, promotion, emeritus/a, and appointment renewal decisions. Prepare letters regarding tenure and/or promotion for the T&P Committee, Provost and President’s signature.

4.Provide support to Faculty Handbook Amendment Committee by assisting in scheduling meetings, preparing and distributing agendas, attending meetings, recording and transcribing meeting minutes, and preparing correspondence and reports in support of committee chairperson if appropriate.

5.Assist faculty and staff in pre-award grant activities to include routing proposals for institutional approval; assist in preparing letters of inquiry and proposals to foundation, government and corporate funding prospects and proposal submission.

6.Provide administrative support for the Institutional Review Board (IRB), Institutional Biosafety Committee (IBC) and the Institutional Animal Care and Use Committee (IACUC), to include managing software, including the website, tracking motions and proposals, and preparing meeting agenda and minutes.

7.Track College-wide grant activity and generate reports as needed. Implement and maintain faculty research interest database and maintain sponsored programs database of funding opportunities. Assist in identifying public and private funding sources.

8.Process purchasing and other financial records related to grants and sponsored programs and other accounts within the Office of the Provost.

9.Maintain the Collaborative Institutional Training Initiative (CITI) website for web-based training in grants, human subjects, biosafety, and animal research.

10.Provide administrative and operational assistance in support of the Provost and Sr. Vice President for Academic Affairs in the absence of the Executive Assistant or as requested.

11.Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse, and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, and visitors to the College. Promote a flexible, collaborative, and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

12.Manage electronic calendars and assist with establishing meeting schedules for various committees/functions. Inform the campus community of scheduled meeting dates, times, and submission deadlines.

Position/Job Qualifications

Bachelor’s degree and a minimum of 2 years previous office experience or the equivalent combination of education and experience; excellent organizational skills, strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; solid working knowledge of various word processing, spreadsheet and database software applications; experience in handling highly sensitive and confidential information, previous experience maintaining and reconciling office and project budgets, good attention to detail, and previous experience working with on-line information systems and on-line corporate calendars are required. Experience working in a college or university setting is preferred.
