The Department of Medicine (DOM) is one of the largest in North America, with 830 full-time faculty members, 1,000 postgraduate trainees, and 20 specialty and sub-specialty divisions located across six fully-affiliated hospitals, four community-affiliated hospitals and more than a dozen additional clinical practice sites. We are a powerhouse of medical research, with more than $162- million in annual research funding. This research generates new knowledge with the goal of meaningfully impacting internal medicine training and the care and health outcomes of patients and their families.

As Program Coordinator, you will collaborate with faculty, residents and a high-performing team of administrative coordinators to support the Division of Gastroenterology, Postgraduate Medical Education and the Department Education Awards Committee. Your outstanding organizational skills and attention to detail will enable you to successfully navigate a fast-paced work environment with multiple time-sensitive deadlines. Your clear and effective communications skills are critical to both individual and program success.


Your responsibilities will include:
  • Providing detailed information to residents on program and/or course requirements
  • Coordinating the CaRMS application process and interview schedules
  • Verifying and reviewing Royal College training requirements
  • Troubleshooting timetabling and/or room booking conflicts
  • Coordinating meeting schedules and taking minutes
  • Coordinating logistics for events and/or programming and arranging catering
  • Updating and maintaining records and web content
  • Drafting and circulating correspondence to trainees and faculty


CampusEssential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two years of related experience in a University or equivalent environment such as a teaching hospital
  • Proven experience coordinating postgraduate residency training programs
  • Experience working effectively in fast pace team environments and providing front-line support to academic leaders and committees
  • Experience supporting events and committees, including taking minutes
  • Advanced skills in Microsoft Office Suite, including MS Access
  • Proficiency in survey tools, content management systems and POWER evaluation and registration system
  • Excellent communications and interpersonal skills, and professional manner demonstrated at all times
  • Ability to effectively communicate complicated regulatory requirements
  • Strong organizational and planning skills with proven ability to multi-task, set priorities, meet deadlines and facilitate others to do so
  • Flexibility in adjusting to changing circumstances and in managing concurrent projects and tasks
  • Proven ability to problem-solve and take action
  • Ability to exercise judgement based on sound principles

Assets (Nonessential):
  • Knowledge of LaserFiche document management system or similar program
