LIM College – Where Business Meets Fashion is currently seeking candidates for the position of Assistant to the President.

POSITION PURPOSE The Assistant to the President is a professional who represents and supports the President in planning, directing, managing and coordinating the College's mission, visions, core values and interests. This person has an overall understanding of all that impacts the President's day-to- day responsibilities by being exposed to all levels of management. The Assistant to the President is flexible with the ability to accommodate shifting priorities while working with minimal supervision, exercising independent judgment and maintaining confidentiality. ESSENTIAL FUNCTIONS AND BASIC DUTIES
  • Coordinates the daily operations of the College President's Office. Performs a variety of administrative duties for and provides administrative support to the President
  • Serving as the point of contact for the President for the College's constituencies
  • Schedules appointments and maintains calendar for College President, makes travel arrangements for President, Board members and others in President's office as needed or requested
  • Maintains a contact list for the President's business engagements
  • Answers and screens telephone calls, arranges conference calls and manages the President's call back list
  • Prepares outgoing mail and sorts and distributes incoming mail and takes messages for the President and other members of the presidential suite as needed
  • Composes and formats documentation including letters, briefings, emails, meeting minutes and other communications
  • Initiates travel arrangements and creates detailed itineraries
  • Plans and manages events as required by the President
  • Coordinates a variety of resources and obtains information for special projects
  • Creates presentations and creates and maintains spreadsheets, databases and charts
  • Under the direction of the President, sets up and maintains president's hard copy and computerized files
  • Prepares, reviews and tracks invoices and expense reports
  • Serves as liaison to the, Board of Directors, the LIM College Fashion Education Foundation Board of Directors and the Industry Advisory Board (IAB)
  • Under the direction of the President, communicates/interprets policies, decisions and documents issued by the College
  • Provides administrative support for Board of Directors and the LIM Fashion Education Foundation Board of Directors. Assists in preparing agendas and meeting packets, attends meetings takes and transcribes meeting minutes
  • Provides administrative and operational support for the President regarding any Shareholder matters as necessary
  • Working with the President, provides administrative support for the President's Cabinet or other committees, as requested by the President to prepare agenda and meeting materials, communicates with members pre and post meeting, as necessary attends meetings to take and transcribe minutes, maintains and files minutes and distributes minutes as necessary
  • Ability to liaise effectively with College lawyer(s) to uphold required legal standards
  • Coordinates with other offices on major events to ensure that the President is kept abreast of progress
  • Manages special projects as requested by President
  • Researches and responds to a wide variety of questions/issues presented to or initiated by the President
  • Assists the President and/or officers in various aspects of community and government relations
  • Represents the President in resolving problems that are brought to the attention of this office by students, parents, and other constituencies
  • Attends meetings and serves on committees as requested
  • Assumes responsibility for related duties as required or assigned
  • Performs other duties as assigned
QUALIFICATIONS
  • Bachelor's degree required; Master's degree preferred
  • Advanced knowledge of Microsoft office Suite, and other software packages generally needed to support senior level executive, experience in project management software such as Trello
  • 5-10 year progressive experience in an executive office, preferably in a higher education institution supporting c-level executive.
  • Experience working/supporting Board of Directors preferable
