Job Summary
Supporting the Education and Human Sciences unit at the Gulf Park campus of The University of Southern Mississippi, the part-time administrative specialist reports to the local area coordinator. The administrative specialist assists in all clerical, daily tasks needed to support the academic and administrative functions of the main office.

Primary Duties and Responsibilities
1.Acts as academic support for the School/Unit to include, but not limited to, corresponding with prospective students, preparing and sending necessary student forms, maintaining appropriate student files and working with faculty, staff, students and university community to assure student success.

2.Assists with preparation of course scheduling, room reservations and student scheduling needs.

3.Maintain and reconciles all school budgets in a timely manner. Assist university units and external agencies with budget requests. Prepare budgetary forms, obtain appropriate signatures and route to appropriate entity. (i.e. Purchase Orders, Permission to Travel, Reimbursement Voucher, etc.).

4.Maintain and track school inventory. Conduct regular inventory audits. Assist in state mandated audits. Order course and lab supplies, as requested.

5.Process necessary forms for school maintenance, supply purchases, awards, etc. through the University and Foundation. Prepare appropriate hiring paperwork for faculty, staff, adjuncts, student employees, etc.

6.Provide administrative support for the area coordinator including, but not limited to, event planning, calendar/scheduling and correspondence and will perform other duties as assigned.

Minimum Qualifications High schooldiploma or general education degree (GED) and one year related experience.

Knowledge, Skills & AbilitiesProficiencywith a PC and keyboard to perform data entry
Ability toread and interpret documents such as safety rules, operating and maintenanceinstructions, and procedure manuals.
Ability to writeroutine reports and correspondence in Microsoft Office.
Ability tomaintain cooperative relationships with colleagues
Excellentinterpersonal, organizational, oral and written communication skills.
Ability toexercise discretion, confidentiality and judgment in dealing with sensitiveissues.

Preferred Qualifications
Experienceworking in academia. Knowledge of SOAR/Peoplesoft.
