SUMMARY

The Tassell MTEC Support Professional will provide direct services to students interested in and enrolling in programs at the Tassell MTEC, as well as provide departmental administrative support for specific processes required for successful student completion. This position requires a high level of customer service, demonstrated consistency in follow up and follow through on details, and the ability to multi-task. Regular communications with students, colleagues and faculty through various means such as e-mail, phone call, classroom visits, and face to face conversation is expected. This role works with multiple departments on campus including Financial Aid, Cashier, Records, MTEC Faculty, Academic Advising, Disability Support Services and Enrollment Center

ESSENTIAL JOB FUNCTIONS

    Support and organize all activities for non-degree programs for the Tassell M-TEC, including weekly information sessions, orientations, tours, EXIT Advising Sessions, and graduations.Greet and direct visitors, students, members of the College, and the public, and respond appropriately to requests made in person or via telephone or e-mail from individuals regarding the College, classes, projects, events, etc.Assist all prospective and current students with GRCC admissions and enrollment processes by providing next steps either in-person, by phone or e-mail.Assist students with the use of technology to obtain and submit information, utilization of the Online Student Center, such as applications, FAFSA on the Web, online student loan application process, personal data, drops/adds/withdrawals, change in major, or unofficial transcripts.Process application and registrations in PeopleSoft or other enterprise systems for admissions and enrollment.Schedule and coordinate programmatic assessments for prospective students and record data in enterprise systems.Process and Report Satisfactory Academic Progress (SAP) to financial aid by coordinating information through faculty and operations.Using College enterprise systems (e.g. PeopleSoft, Continuity), scheduling of all Job Training classes per the direction of MTEC Managers.Serve as the primary School Certifying Official (SCO) for Tassell M-TEC Veteran Affairs participants. This includes basic Veteran Affairs information, enrollment assistance, processing of claims, and maintenance of accurate and detailed files.Prepare and disseminate faculty evaluation forms for programs.Support MTEC Managers with annual department strategies for marketing, recruitment, enrollment, and placement.Respond to website or email inquiries by e-mail or telephone call.Complete Ending Enrollment reporting, which includes preparation and mailing of certificates, processing final SAP (Satisfactory Academic Progress), data recording and end of course metrics.Receive and process Emergency Assistance and Transportation Applications.Schedule Advising appointments for Tassell M-TEC students, and make referrals for students with the Advising office.Take effective meeting notes, accurately transcribe, and distribute and file accordingly.Accurately update or assist with development of various departmental, public, or internal process and operations documents.Operate an efficient office and perform general office duties by maintaining general and confidential files, writing general correspondence, schedule meetings, answer phone calls in a courteous, friendly, timely and professional manner, sort and disseminate mail, and coordinate calendars and work schedules.Maintain accurate records, files, and office activities with strict standards of confidentiality.Generate reports as required using Microsoft Office software or enterprise systems, both weekly and monthly.Attend training deemed essential for staying current on all aspects of positionSupervise student employees, including hiring, scheduling, training, evaluating, and prioritizing their activities when necessary.Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.

MARGINAL (NON-ESSENTIAL) JOB FUNCTIONS

    Order and maintain inventory of departmental supplies.Other duties as assigned

JOB SPECIFICATIONS

Education:

    Associates degree required.National Career Readiness Certificate (NCRC) preferred.

Experience:

    A minimum of four or more years of secretarial or administrative assisting experience.Working knowledge of Windows, Microsoft Office (Word, Excel, Access, PowerPoint), various email systems (Gmail), and PeopleSoft; or the willingness to learn.

Skills:

    Proficiency in interpersonal, verbal, and written communication skills.Excellent organizational skills; ability to prioritize and complete tasks within assigned deadline.Possess demonstrated initiative and problem-solving abilities.Possess demonstrated excellence in customer serviceAbility to proofread accurately.Ability to create, modify, and/or maintain complex (Excel) spreadsheets.
  • Finalists will be required to complete an office testing module and meet minimum standards, plus possess excellent proofreading skills and have aptitude for detail work. An in-basket assignment may be required.

Grand Rapids Junior College (GRJC) was founded in 1914 by the Grand Rapids Board of Education after a resolution was passed by the University of Michigan’s faculty which encouraged the establishment of junior colleges in Michigan.

Today, GRCC’s eight-block downtown campus, encompassing more than 25 acres in downtown Grand Rapids, includes several classroom buildings, a learning center (including the Diversity Learning Center) and library, Spectrum Theater, the Applied Technology Center (which features a green roof), a remodeled music building, a fieldhouse with natatorium, a student center, Bostwick Commons, and the Calkins Science Center.

The college also offers instruction from a variety of regional centers in the metropolitan Grand Rapids area (including numerous local high schools, regional centers and its two Learning Corners on Wealthy St. and Seward Ave.) and on the West Michigan lakeshore (including West Ottawa High School, Careerline Tech Center, the Midtown Holland Center and Grand Valley State University's Meijer Campus in Holland).

In addition, GRCC has two Michigan Technical Education Centers (M-TECs in West Michigan. The Patrick Thompson M-TEC, part of GRCC's Lakeshore Campus, located in Holland, opened in Fall 2000 in partnership with the Ottawa Area Intermediate School District. The Leslie E. Tassell M-TEC ® in Grand Rapids opened in 2002. This world-class facility offers training in manufacturing, auto service, and building and construction trades.

To increase capacity to meet unprecedented demand, GRCC acquired the former campus of Davenport University on Fulton St. in downtown Grand Rapids and began offering courses at Sneden Hall beginning in the Fall 2009 semester.

In Winter 2010, more than 17,000 students enrolled in more than 1,900 liberal arts and occupational courses. The diverse student body represents students from Kent and surrounding counties as well as students from across the U.S. and 22 other nations. Another 10,000 learners are served by non-credit instructional opportunities. In addition to traditional classroom environments, students may also receive instruction through community and distant service-learning offerings, seminars, workshops, training classes, distance learning options and other educational formats. GRCC employs a faculty of more than 260 full-time and 590 part-time members as well as a staff of 430, all of whom are focused on the College’s priorities to be student-centered, collaborative, and flexible.
