Administrative Program Assistant, Office of the Provost - Georgetown University Main Campus

The Administrative Program Assistant provides direct administrative, event and logistical support to the Vice Provost for Education, and Director of Education and Academic Affairs and the Vice Provost for Faculty and Director of Faculty Affairs, to help move the Provost's initiatives forward on the main campus. This position also provides administrative support for the Office of the Provost as needed. Duties include but are not limited to:

Project Management
  • Coordinating logistics, reconciling reports, tracking expenditures, and facilitating correspondence for department program External Reviews.
  • Managing and tracking documentation for Program Compliance Reviews (for Middle States Commission on Higher Education).
  • Managing and tracking documentation for newly approved programs and proposed programs in development.
  • Coordinating vice provost committees and task forces.
  • Staffing and coordinating provost's student committees, including.
  • Assisting vice provosts and other senior staff with managing calendars.

  • Drafting formal correspondence, taking minutes for committee meetings, managing via email and phone various, often sensitive communications to faculty and external constituents on behalf of the senior staff.

Event Planning
  • Planning from inception to completion an array of events and appointments (e.g., New Faculty Orientation, Phi Beta Kappa Initiation Ceremony, catered events, and committee meetings), including setting up contracts, tracking invitations and attendance, and on-site logistics.
  • Overseeing effective management of budget for office-sponsored events (approximately 20 per academic year).

Administrative Duties as Assigned
  • Duties as assigned by the Special Assistant to the Provost, the Senior Administrator, and other senior leaders in the Office of the Provost. Specifically, these duties may include administrative tasks within the office such as opening and closing duties, coverage of the reception location, coordination of guests and visitors, and catering coordination.
  • Responsible fulfillment of duty roster coverage for the office, in coordination with other administrative staff.
  • Administrative support (including website support) on an as needed basis to other faculty and units, in their relationship to the Vice Provost for Faculty and Faculty Affairs.
  • Other duties as assigned.

  • Bachelor's degree required
  • 2-3 years of administrative assistance required
  • Proficiency with MS Word, Excel, PowerPoint
  • Excellent oral and written communications skills
