Reporting to the Director of Assessment and Outcomes, the Business Manager oversees the administrative, business and assessment functions for The Center for Career & Professional Development. The Business Manager supports detail-oriented business functions including: assessment, generating reports and dashboards that support strategic objectives and budget management. The Business Manager oversees the day-to-day operations of the center by providing quality service to students, employer partners, faculty, staff, alumni and campus partners.

Accountabilities:
  1. Assessment program management: Develop and enhance processes for all metrics and assessment related to the Center for Career & Professional Development at Lehigh University, which includes: First Destination results, student learning outcomes, employer feedback, career coaching feedback, programming, internship and experiential education and student engagement data
    • Design and update the annual First Destination survey to ensure it is compliant with national guidelines
    • Collect and analyze First Destination data using Excel; manage the data collection process timeline and collaborate with the Director to produce the report
    • Develop and implement a career readiness survey for students and employers to assess the level of service needed for students; collaborate with the Career Education Team to develop the survey
    • Develop and implement an annual survey for students to assess the percentage of Lehigh students who participate in deep experiential education opportunities such as internships, cooperative education, academic research and mountain top projects
    • Track various metrics related to programs and projects; analyze data and report in dashboards; provide relevant data to the leadership team to improve understanding of student need, utilization, satisfaction and impact through learning outcomes
    • Utilize the customer relationship management platform to compile month-end dashboards for the Senior Director
    • Collaborate with the Office of Institutional Research on annual surveys as requested
  2. Department administration
    • Maintain departmental contracts and agreements; assist with renewing, implementing or dissolution of contracts and agreements including software and equipment maintenance contracts
    • Handle sensitive or confidential information pertaining to payroll, department finances, employee or student records, contracts, etc.
    • Evaluate and implement office processes, procedures and workflows to ensure efficiency
    • Support, coordinate and participate in hiring searches for Departmental staff; oversee and prepare onboarding paperwork and off-boarding paperwork
    • Manage and coordinate large mailings, track registrations, prepare and distribute materials; develop surveys; track and summarize responses
    • Implement computer equipment replacement cycle for Department or functional area(s); track and order equipment as necessary
    • Maintain leased equipment paperwork and leasing cycles
  3. Budget and accounting management
    • Oversee budgets for several indexes; run reports from Banner database and prepare reports tracking budget accounts
    • Manage billing, collect, record and track payments and prepare deposits
    • Prepare financial accounting reports such as balance sheets and profit/loss statements
    • Manage fiscal resources and oversee resource expenditures for the Department
    • Manage and process accounting transactions such as invoices, purchase orders, fees/charges for services, etc.
    • Analyze monthly budgeting and accounting reports to maintain expenditure controls
    • Process corrections and reallocations to budget accounts; resolve discrepancies
    • Manage and coordinate various month-end and year-end reconciliations
    • Prepare various forms and documentation such as purchase requisitions, purchase orders, reimbursement requests, payroll authorizations, Departmental time reports from time sheets, etc.
    • Review expense report activity and reconciliations
    • Manage and maintain files and documentation related to financial activities
  4. Supervision and management
    • Recruit, interview, select and train a student staff of 15; provide training on work procedures, operation of equipment and the Department CRM platform
    • Assign tasks to work study students; plan, schedule and assign work; set priorities; assign and manage resources
    • Monitor and review work performance; discuss performance concerns
    • Develop and deliver work-study student orientations twice per year
Qualifications:
  1. High school diploma or equivalent combination of education and experience
  2. Three to five years related work experience
  3. Excellent communication and interpersonal skills
  4. Solid writing ability and organizational skills
  5. Supervisory experience preferred
  6. Solid analytical, decision making and problem solving skills
  7. Excellent computer skills with experience using word processing, spreadsheet and database software
  8. Successful completion of standard background checks including but not limited to: social security verification, education verification, county and national criminal background checks, PATCH, FBI fingerprinting, Child Abuse Clearance. Based upon the requirements of the position Lehigh may also request credit history reports, motor vehicle checks and professional license/certification verification
