Job TitleFacilities Space ManagerJob Summary

This position is responsible for the assessment, planning, management and coordination of interior space utilization. This includes regular interior condition assessments, developing programs of requirements for space during the initial stages of a project and coordination and scheduling of moves from one area to another when a project is completed. This position is also responsible for the development of necessary design, documentation, and management of interior design projects including furniture layout and selection, and finish color and material selections. It requires coordination with various College Departments and Committees, Program Managers, Architects, Interior Designers and construction firms.

Essential Duties and Responsibilities

1.Space Condition Assessment

•On a monthly basis conduct inspections of the condition of interior public spaces in 2 Academic & Administrative buildings and prepare an assessment report that identifies required repairs and recommendations for improvement.
•On a monthly basis conduct inspections of the condition of interior public spaces in 1 residence hall, including all public spaces and lounges. Prepare an assessment report that identifies required repairs and recommendations for improvement.

2.Interior Design

•Prepares necessary interior design documents directly and oversees the preparation of the same by consultants. Performs as Project Manager for space planning and interior design projects assigned to include programming, design, code analysis, estimating, installation inspection and contract administration.
•Assists in the review of construction documents prepared by others.
•Prepares various reports and studies to include planning, interior design and other related interior/architectural disciplines as may be required.
•Prepares project status reports.
•Prepares or oversees the preparation of various graphs, charts, schedules, color boards, sketches and art work.
•Coordinates the installation of projects.
•Assist in the development of the Campus Space Standards/Protocols – Attend / participate in appropriate training seminars and report / coordinate findings
•Assist in the development of the Campus Sustainable Design Finishes Standards/Protocols – Attend / participate in appropriate training seminars and report / coordinate findings.
•Prepares comprehensive project updates.
•Prepare and document vendor consultants database.
•Assist in the development of electronic finishes library / database.

3.Space Management

•Assists in the development and maintenance of the computer space management database for Facilities Management & Services.
•Assists in the development of a computer based record system for building. Input and maintain building floor plans using AutoCAD computer-aided design software.
•Organize and maintain the drafted record drawing files and project manuals, product literature and office files.
•Meet with College personnel regarding space use and fire and safety identification.
•Maintain a current working knowledge by reading and attending seminars of Facilities Management hardware and software applicable to Spelman use.
•Provide information and advice to management for updating of equipment.

This position has indirect responsibilities for budgets that may range up to $500,000.

Required Qualifications

Bachelor’s degree in Architecture, Interior Design or related field and at least five (5 years) of experience in a similar position with interior design and space management required, preferably in an institution of higher education.

Excellent oral communication skills are required when presenting information and responding to questions from students, parents, employees, and the general public in one-on-one or group situations. Must display excellent customer service and show initiative. Incumbent must be able to write business correspondence and procedure manuals plus compose memos, letters, and e-mails. Also, must be able to read, analyze, and interpret documents such as professional journals, safety rules, operating and maintenance instructions, and procedural manuals. Must be able to collect data, and draw valid conclusions.

Must be detailed oriented, organized, and able to multi-task projects and assignments.

To perform this job successfully, an individual must have advanced skills using Microsoft Office Suite (Word, Excel, and PowerPoint) which includes mail merges, preparation of flyers, spreadsheets containing formulas, and creating forms. Experience with AutoCAD or similar software required.

Current valid Georgia Driver’s License required.

Must be able to pass a pre-employment drug test.

Preferred Qualifications

Experience with asset management software systems, particularly AIM, preferred.

Certifications, Licenses, Restrictions

LEED Certification, Interior Design or Architect License preferred.
