Position Summary

The Department of History is seeking an Academic Program Coordinator to assist with the administration of the undergraduate and graduate programs.

Serves as assistant to the department administration and the Graduate Program director; oversees general office operations in the graduate office and performs a wide variety of clerical and administrative tasks for the department; acts as a resource person for faculty, staff and students for the unit in terms of college and university policies and procedures relating to the undergraduate and graduate programs; maintains confidential academic and personnel files and graduate student database(s); coordinates the graduate program admissions process; maintains and initiates records of funding awarded to students for assistantships, conference and research fellowships; complies department statistics and prepares reports as requested; interacts with the University Admissions Office, the Registrar’s Office, the Graduate School and the College of Social Science; oversees the course scheduling process including assisting advisors with monitoring undergraduate and graduate curriculum planning; maintains the department website, social media accounts, and creates marketing material and newsletters; processes travel reimbursements and other accounting transactions; supervises student employees.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in business, education, higher education, psychology, business or a related field. One to three years of related and progressively more responsible or expansive work experience in university/college/academic admissions or related administrative position; or an equivalent combination of education and experience.

Desired Qualifications

Detail-oriented; familiarity/proficiency in Microsoft Office suite; Database management experience; ability to handle multiple tasks at the same time. Working knowledge of MSU financial and student records systems such as Student Information System (SIS), Enterprise Business System (EBS), HR/Payroll Systems (SAP), Kuali Financial System (KFS), Graduate Student Applications (GAMS), Grad Plan/Grad Info, Degree Navigator; graduate student application and assistantship processes. Ability to work independently; organize and multi-task with attention to detail and accuracy; work with interruptions; coordinate multiple projects and committees with deadlines; working knowledge of MSU policies and procedures; knowledge of university travel and purchasing systems; excellent written and verbal communication skills; experience maintaining a presence on social media and excellent collaborative skills.
