The College of Arts and Sciences, Physics & Astronomy Department seeks to hire a diverse and skilled Administrative Coordinator, Administrative.  This position will assist the Business Manager III with supporting the departmental financial functions. This successful candidate will be primarily responsible for handling issues related to but not limited to the following,

  • Budget and administrative support for external research projects including providing support to PIs and G&C Officers in budget development, Reconciling accounts to the Actuals Ledger (AL), on awarded budgets or contracted rates

  • Monitors and processes Accounts Payable (AP) and Accounts Receivable (AR) items to include, travel, vouchers, reimbursements and procurement items on sponsored funding sources

  • Ensures requests and documentations are done to meet cost sharing requirements on sponsored accounts

  • Responsible for maintaining external award files (both pre/post award notices)

  • Responsible for grad student payroll: to include but not limited to preparing reports, developing data fiscal database and monitoring projections for PLG budget lines across all funding sources

  • Facilitating initiation and amendments to payroll distribution items for PLG students; processing waiver requests

  • Performs and monitors the quarterly audit of procurement cards with all funding sources

  • Provides monthly expenditure review report to Chair on all external accounts to ensure spending compliance

  • Primary liaison with Grants and Contracts Officers to assist with MSS transactions for Faculty/Staff/Temp/Student payroll, preparing PPA corrections and reconciling payroll issues funded from external funding sources

  • Coordinates effort reporting and certification process to be compliant with OMB Circular- A-21

  • Facilitates effort reporting support for Faculty/Staff engaged in external funding sources

  • Serves as backup support in the absence of the Business Manager

  • Perform other professional duties as assigned or requested




Qualifications

Bachelor's degree and two years of related experience; or a combination of education and related experience.

The Georgia State Panthers are members of the Colonial Athletic Association and compete in 16 NCAA Division I intercollegiate men’s and women’s sports, including basketball, baseball, softball, golf, tennis, track and volleyball. The university announced in April 2008 that is will begin Division I-AA football in 2010.

The university’s innovative Touch the Earth program brings outdoor recreation ranging from backpacking, rock climbing, sailing, kayaking, rafting and water-skiing to out-of-state snow-skiing and snorkeling trips. And WRAS, Georgia State’s popular 100,000-watt radio voice, is the most powerful student-run radio station in the United States.
