Position Information Classification TitleBusiness Operations ProfessionalPay GradeFLSAJob FamilyBusiness And FinanceFTE1.0Minimum QualificationsPreferred QualificationsPosition SummaryThis position provides oversight and control for all aspects of events conducted at Rock Eagle 4-H Center including scheduling, facilities and catering coordination, effective budgeting, billing, cost controls, development of marketing materials, and the supervision and oversight of the functions of the Administrative Office and distributing interoffice communications at the direction of the Center Director. This position is responsible for an average of 850 contracts and 65,000 program participants annually and promoting the mission of UGA 4-H and Extension.
Hours may vary, including evenings and weekends, to meet performance expectations.

Knowledge, Skills, Abilities and/or Competencies- Proven excellent organizational skills to effectively coordinate a number of events at the same time and managing a large number of details, to work under pressure and meet deadlines

Traverse uneven surfaces and access all areas of the Rock Eagle property including areas of lodging, classrooms, recreational sites, and food services.
- Lift and carry up to 15 pounds, both assisted and unassisted.

Duties/Responsibilities Duties/ResponsibilitiesHandles the booking arrangements for all the conference groups interested in holding retreats/conferences for all 4-H and non 4-H groups. This includes the initial call/e-mail from customers, checking availability and getting the necessary information from guest (such as to number of meals, lodging, room set-ups and AV needs) to ensure availability. Processes this information and works with each department head to ensure the needs of each guest has been communicated accurately. Answers all other inquiries about the Center and arranges on-site visits from potential customers.
Percentage of time50 Duties/Responsibilities Duties/ResponsibilitiesWorks with customers on site to ensure that expectations have met, resolve any maintenance, housekeeping, audio visual and food service issues that may arise during a groups visit to Rock Eagle 4-H Center. Assist in setting the schedule for the Auditorium Technician according to the needs of groups large enough to need use of the Auditorium. This position requires some evenings and weekend work and “on call” responsibility.
Percentage of time20 Duties/Responsibilities Duties/ResponsibilitiesAssists the Center Director and Environmental Education Program Coordinator III with the booking of schools wishing to attend the Environmental Education programs, assigns building and lodging facilities. Handles the on-site registration of each school, updating and amending fees upon arrival and receipting funds.
Percentage of time15 Duties/Responsibilities Duties/ResponsibilitiesManages the Georgia 4-H Event registration site for the 4-H summer camping activities on site. This includes accepting and up to date monitoring of the initial deposits made for each participant prior to the events. Handles on site registration at these events and bills counties for any outstanding registration fees and handles any possible refund request.
Percentage of time10 Duties/Responsibilities Duties/ResponsibilitiesPrepares appropriate and accurate billing of each group visiting the Center as well as all services rendered to user groups. Responsible for receipting funds.
