Job TitleTemporary Administrative Aide IIJob Description SummaryMontgomery College, Health Science Center on the Takoma Park / Silver Spring Campus has a need for a full-time Temporary Administrative Aide II. Normal work schedule is Monday – Friday, 8:30 am–5:00 p.m. but, can vary based on the needs of the department and may include day, evening, and/or weekends.Job DescriptionDuties include but are not limited to:
- Provide high quality administrative support for Program, Faculty and Staff.
- Provide customer service to all office visitors to the Director’s office, or anyone making program inquiries, provide information or instructions
- Screen and transfer telephone calls to appropriate staff or other offices
- Produce a variety of word-processed documents such as letters, memoranda, and reports.
- Extract and compile data from multiple sources into a single formatted excel spreadsheet and verifies accuracy of data for internal and external reports.
- Research records and other sources to obtain information for other purposes.
- Maintain open communications with staff, students & faculty and help resolve problems as they arise.
- Provide marketing support for the Nursing programs, to include website and social media.
- Responsible for meeting minutes.
- Assist with planning and implementing events and meetings
- Monitor deadlines and assure that the department meets them
Required Qualifications:
- High School Diploma or G.E.D. including or supplemented by courses in word processing and office practices.
- Minimum of three years of progressively responsible experience performing general office and secretarial duties involving customer service.
- Experience in office support procedures and practice, ability to perform administrative, technical, and secretarial work
- Experience operating office equipment.
- Knowledge of English usage to include spelling, grammar, writing styles, and formats.
- Experience with Microsoft Office Suite, and office applications.
- Excellent communications skills, including oral and effective business writing.
- Experience drafting written correspondence.
- Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
Preferred Qualifications:
- Associate’s degree or a higher degree.
- Strong attention to detail.
- Ability to anticipate needs.
- Ability to navigate a student management or similar system.
- Ability to navigate a web site, creating and editing material as needed.
- Experience coordinating department/program events.
- Experience managing and maintaining a supervisor’s calendar.
- Ability to extract and compile data from multiple sources into a single formatted word or excel document.
- Experience working in a higher education setting.
- Experience working in a diverse, multicultural setting.
