This position is responsible for the organization and performance of a wide variety of moderately complex administrative duties in support of the Department Chair in the Department of Communication, History, and Philosophy (CHP) within the College of Arts and Sciences. Responsibilities include support of the Department's academic programs and initiatives, and facilitating the interaction of the Department Chair with university, A&M System, and community members. This position provides primary administrative support to the department.
Responsibilities:
- Screens phone calls, responds to questions, and takes messages for the Department and the College of Arts & Sciences;
- Handles correspondence and prepares various reports as needed.
- Maintains active personnel files for department and assists in the processing of faculty applications, credentialing, approval and appointment letters.
- Assists in the planning and execution of special events and meetings.
- Maintains office equipment and assists in acquiring departmental supplies.
- Requires some independent decision-making.
- Assists the Department Chair in other record retention efforts
- Maintains academic, student, and year-to-year financial records related to the activities of the department.
- Assists departmental faculty and staff with purchasing, travel planning, and accounting tasks related to these.
- Assists students in the College with registration, independent study requests, and overload requests.
- Verifies the class schedule; works with advisors to notify students regarding class changes.
- Enters adjunct faculty assignments in Banner
- Prepares some textbook requests for departmental faculty.
- Prepares workload reports for departmental faculty.
- Assists faculty with their office needs, facilitates completion of HR related tasks, and sends reminders on completing training by departmental faculty and staff.
- Performs other duties as assigned.

Education & Experience:
- High School diploma and five years of related experience in an education setting.
Knowledge, Skills, and Abilities:
- Knowledge of word processing, spreadsheet, and database applications.
- Ability to multitask and work cooperatively with others.
- Excellent written communication, analytical, interpersonal, and organizational skills.
- Ability to work in a high stress environment.
- Ability to work with sensitive information and maintain confidentiality.
