Objective:

To assist the Registrar in the overall coordination and supervision of the Office of the Registrar and to assume full responsibility during the absence of the Registrar and the Associate Registrar. Position reports directly to the Registrar, and is supervised by Associate Registrar.

Essential Functions of Assisting the Registrar with:

  • management, security and integrity of student records in accordance with the standards recommended by the American Association of Collegiate Registrars and Admissions Officers and in compliance with all federal and state laws, statutes, rules, policies, procedures, and other requirements
  • review of eligibility for graduation and the collection and review of graduation applications
  • review of degree requirements for prospective graduates and the conferral of degrees
  • preparation of the Master Academic Schedule
  • preparation of class schedules, course offerings, student schedules, classroom assignments, and class rosters
  • implementation of academic policies and regulations
  • administration and enhancement of the student information system
  • evaluation of transcripts and the awarding of transfer credit
  • coordination and administration of registration procedures for all academic terms
  • issuing of transcripts in a timely manner
  • collection of final and mid-term grades
  • participating in the registration process
  • preparation, maintenance, and distribution of prospective graduate and walker lists
  • maintenance of the Jenzabar EX Advising Module
  • serving as a module manager for the Jenzabar EX Advising Module and attending module manager meetings
  • review and preparation of the Catalog
  • preparation of the Independent Colleges and Universities of Florida articulation manual
  • supervision of student office assistants
  • attend meetings in the Registrar’s and Associate Registrar’s absence
  • submit to the Registrar recommendations for policy and/or policy changes
  • assist with Commencement, Admitted Students Day and SOAR events, and New Student Orientation
  • assist in monitoring the College’s FERPA compliance

Additional Duties as Assigned

  • review and update the Office of the Registrar’s website and MyFlagler content
  • oversee the ordering and preparation of diplomas
  • provide Jenzabar EX Advising Module training to new faculty
  • provide Acalog ACMS (catalog management software) training to faculty and staff

Qualifications

MINIMUM QUALIFICATIONS

  • Bachelor’s degree required
  • Minimum 3 years related experience in Office of the Registrar or Records area
  • Thorough knowledge of the operations, functions, and scope of authority of the Office of the Registrar
  • Ability to maintain confidentiality and to exhibit good judgment in making decisions consistent with College policy
  • Ability to organize and manage multiple tasks and deadlines, and work cooperatively with the specified constituents
  • Ability to interact and develop working relationships with students
  • Ability to effectively manage student staff
  • Ability to interact with faculty and professional staff
  • Proficient knowledge of a higher education enterprise Student Information System
  • Proficient in Microsoft Office Suite

PREFERRED QUALIFICATIONS

  • Proficiency in JenzabarEX or JenzabarJ1 or other similar Student Information System
  • Proficiency with Jenzabar Advising Module
  • Familiarity with Sybase Infomaker
  • Familiarity with AdAstra

CHARACTERISTICS PREFERRED

  • Courteous manner in dealing with the students, faculty, staff and public
  • Work well under direction
  • Work well as team member
  • Exhibit an ability to effectively communicate

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

  • Must be able to lift and move files
  • Must be able to lift 5 lb – 10 lb boxes
  • Must be able to perform data entry
  • Ability to access multi-storied buildings and multiple-level staircases
