Position Summary:
Purchasing. The Contracts Administrator assists the Procurement office in oversight of the Institution's purchasing functions in compliance with the Department of Administrative Services (D.O.A.S.) - State of Georgia Procurement Manual, the O.C.G.A., and the Board of Regents University Systems of Georgia rules and guidelines for State Purchasing, and University policy.

Essential Functions

  • Oversees every Agency Contract from award to close out; monitors overall spend and supplier performance; conducts contract resolution meetings with suppliers and departments.
  • Processes purchase orders, including reviewing quotes, terms and conditions, as needed.
  • Expedites and reconciles purchase orders; performs internal auditing.
  • Attends meetings to include pre-bid conferences, progress meetings, conflict resolutions, site visits and contract kick-off meetings.
  • Oversees and performs the contract renewal/rebid process meeting all deadlines.
  • Maintains the contract files including purchase orders, renewal documents and correspondence.
  • Resolves issues with fulfillment of orders, invoicing, and/or returns.
  • Provides assistance to Auditors from the State Accounting Office, D.O.A.S., Georgia Department of Audits and Accounts, University Systems of Georgia, and Georgia Southern University, when necessary.

    Minimum Education Required:
    Associate’s Degree or two years of post-secondary education; Georgia Certified Purchasing Associate certification (obtain certification within first 12 months of employment, if not certified)

    Three or more years of related work experience

    Knowledge, Skills & Abilities:
    Effective communication (verbal and written), organization and human relations skills; ability to work well in a diverse environment; proficiency with computer and Microsoft Office Applications software including word processing, spreadsheets, and databases; legally authorized to work in the United States; successful completion of background investigation prior to employment

    Bachelor’s Degree

    Salary Range: $40,566
