Events and Communications Coordinator - BMW Center for German and European Studies

Founded in 1990 after the fall of the Berlin Wall, the BMW Center for German and European Studies (CGES) is the preeminent Center for the study of European affairs and the transatlantic relationship in the United States. CGES serves as a hub for interdisciplinary research and teaching on modern Europe, with an emphasis on cultural studies, economics, history, and political science.

The Events and Communications Coordinator manages events, communications, and marketing for the Center. S/he works closely with the Director, faculty, and staff of the Center, as well as with other SFS and University offices. Reporting to the Assistant Director of Finance and Administration of BMW CGES, the Events and Communications Coordinator has additional duties that include but are not limited to:

Events Management
  • Works with stakeholders on the development of program and schedule, negotiating contracts with vendors.
  • Works with the SFS BSC to ensure timely submission and approval of contracts.
  • Reserves venues generating advertisements, invitations, and associated correspondence, as well as creating/updating mailing lists.
  • Manages events from setup to cleanup, coordinating with media, student groups, or any other organization involved in the event.
  • Coordinates with SFS Communications on media for events, and with the University Office of Communications on protocol and security.
  • Arranges visitor transportation and lodging.
  • Records and live posts events to digital media, maintaining all technology and equipment related to events.
  • Ensures delivery of events within budget approved.
  • Prepares reimbursements of honoraria and travel expenses for visitors and guest speakers.

Communications and Marketing
  • Develops overall CGES communications plan with Director and Assistant Director.
  • Coordinates with SFS Dean's Office Communications team on broader communications initiatives at the School and University levels.
  • Edits, manages, and contributes content to CGES publications, social media, and website, including receiving contributions from the Director and Center faculty and staff, copy-editing, layout and design, and managing vendor progress and delivery.
  • Manages CGES visual identity, working with the Director and Assistant Director to produce marketing materials.
  • Ensures delivery to recipients of all publications and marketing materials.

Office Administration
  • Assists Director, Assistant Director, and faculty with preparation of grant submissions, reconciliation, and reporting.
  • Serves as backup office manager in the absence of the Program Assistant.

Requirements and Qualifications
  • Bachelor's Degree
  • 2 years of experience in event management and communications or closely related experience
  • Proficiency in technologies related to the duties of the position, including social media and marketing
  • Must demonstrate a high level of organization and attention to detail
  • Experience in higher education, an interest in international relations, and proficiency in a European language, preferred
