UW Tacoma's Office of Enrollment Services has an outstanding opportunity for a Program Assistant. Enrollment Services provides current and future students with administrative and academic support services and information needed to take full advantage of the educational opportunities available to them at the UW Tacoma. Enrollment Services also provides faculty, staff and members of the community with information and administrative services that support the University's academic mission
The Program Assistant This position handles admissions and application materials, data entry and queries in multiple databases, and notification/communication on behalf of the University with students who are applying for undergraduate admission to the University of Washington Tacoma. The position requires excellent attention to detail, the ability to work independently, and meet strict deadlines while adhering to admissions policies and procedures. This position is a vital role in the undergraduate admissions process.
Duties and Responsibilities:
Collaborate with other staff in Admissions, Enrollment Services and academic programs on admissions processes
Complete data entry tasks relating to application submission and related supporting documents necessary for file completion, including forwarding materials for evaluation; scanning/maintaining electronic files; updating databases per requests to change application quarter, withdrawals of applications, declining admissions offers, and regular monitoring of application status conversion rates to ensure admissions operations efficiencies
Perform various application database queries, reports, and lists based on the needs and directions of the Associate Director of Admissions Operations,
Perform duties involving the management of mail, imaging and document management including scanning, indexing, verifying, accessing documents and data,
Develop and maintain records, both conventional and electronic including sorting and calculating data; and import/export data from/to other software applications.
Update application information in student databases and provide feedback to Associate Director/designees concerning required updates and data entry changes
Complete admissions records management, file maintenance protocols and preparing files for records retention
Generate notification letters out of CRM
Keep admissions web pages current
Additional Responsibilities:
As designated, assist with admissions processing activities
Assist in the implementation of operational goals and objectives for Enrollment Services
Be resourceful in problem solving: use intelligence, common sense, hard work, multiple resources and tenacity to solve particularly difficult or complicated challenges
Accept personal responsibility for the quality and timeliness of work/ can be relied upon to achieve excellent results.

Attend appropriate departmental meetings, serve on committees and participate in projects as needed
Perform other duties as assigned
Minimum Qualifications:
High school graduation or equivalent AND two years full-time clerical experience OR equivalent education/experience
Additional Qualifications:
Must be detail-oriented to manage and update constantly changing information while also organizing work, defining tasks, prioritizing assignments, working independently, and following through with minimal direction
Ability to be flexible and responsive to evolving changes in work flow and process management, as the use of technology or other opportunities result in new processes or task organization
Ability to work on multiple tasks while responding to student and staff needs
Ability to work well and collaboratively with others within a multi-cultural environment
Ability to perform well during periods of high volume activity/stress
Excellent oral and written communication
Proficient and accurate keyboarding skills; 10 Key by touch
Excellent customer service skills
Experience with, and appreciation for, working with people of diverse backgrounds
Familiarity with databases; proficiency with Microsoft Windows, Windows based applications, Access databases and other software
Desired:
Bachelor's Degree
Prior experience with the University of Washington's Student Database (SDB)
Prior experience with CRM database
Prior experience with UW Tacoma's Student Information System (SIS)
