General Statement of Responsibilities

Responsible for technical aspects of operation and maintenance of assigned area. Performs typing, computer entry and varied communicative and records processing work in direct support of the assigned area of the department. Performs para-professional level support for the department and related services. Trains, schedules, and supervises student workers. Interacts with community, students, and staff to provide efficient and courteous customer service.

Supervision Received
Works under the general supervision of the Dean of Instruction, Health and Public Service.

Supervision Exercised
Supervision is not a responsibility of this position. Oversees student workers.

Examples of Duties - Essential Functions

  1. Greets visitors and patrons, answers questions, directs calls and people to the appropriate person or place. Provides specific departmental information to students, staff, and the public.
  2. Maintains files and student data and tends database as applicable. Makes computations, verifies information, collects and interprets data for records and reports.
  3. Creates a variety of departmental correspondence, course outlines, schedules, memoranda, work orders, and other material for department staff.
  4. Compiles and tracks program-specific data; prepares and distributes reports.
  5. Sets up and maintains a variety of records and files of a nature appropriate for the operation of the assigned area.
  6. Supports and oversees maintenance of the electronic equipment, including computers, printers, copiers, computerized programs, and specialized technology equipment. Troubleshoots and resolves technical issues as appropriate.
  7. Trains, schedules, and supervises student workers.
  8. Maintains the security and confidentiality of all sensitive materials.
  9. Maintains and applies current technical skills and knowledge in assigned computer technology areas to remain informed and be helpful to staff and students.
  10. Performs other duties as assigned.
Specific Duties
  1. Provides assistance to and facilitates student completion of online applications, criminal background checks, and vaccination/immunization processes. Coordinates random drug screening program for students.
  2. Works with program faculty, staff and other appropriate personnel to ensure program objectives and needs are met, maintain effective workflow, and facilitate smooth transitions for participants.
  3. Coordinates special events, meetings, and activities including Demonstration Days.
Screening Criteria

Education and Experience: Associate Degree in Business Technology or related area is required. One year progressively responsible administrative and/or customer service experience is required. Experience in a community college or academic setting is preferred.

Only degrees received from an accredited institution will be accepted: accreditation must be recognized by the office of degree authorization, US Department of Education, as required by ORS 348.609. Final candidate will be required to provide official transcripts for required degree.

Any satisfactory equivalent combination of education and experience which ensures the ability to perform the essential functions of the position may substitute for the requirement(s).

Licenses/Certifications: For assignments requiring operation of a motor vehicle, possession of a valid Oregon Driver's License and proof of an acceptable driving record at the time of hire are required. New employees establishing resident status in the State of Oregon must obtain an Oregon driver's license within 30 days (ORS 807.020 (1)).

Knowledge of: College instructional procedures and policies; assessment tools and data collection; computers and data systems, including word processing, spreadsheets, and data management; business English, composition, spelling, punctuation, general bookkeeping, and office practices.

Skills: Administrative skills; customer service skills; verbal and written communication skills; computer skills including Microsoft Office Suite ® products; organizational/prioritizing skills; basic supervisory skills.

Ability to: Conduct research and basic statistical analysis; keep detailed and accurate manual and/or electronic records; communicate professionally and effectively; manage multiple priorities and deadlines; represent the College and its programs professionally; use office and computer equipment and software; keyboard accurately at 60 wpm; establish and maintain effective working relationships with coworkers, students, faculty, outside agencies, and the public; set priorities and work well with minimal supervision; quickly learn software programs; and maintain confidentiality. Pass a criminal background check.

Manual dexterity and coordination are required for more than half of the daily work period (about 60%) which is spent sitting while operating office equipment such as computers, keyboards, 10-key, telephones, and other standard office equipment. While performing the duties of this position, the employee is frequently required to stand, walk, reach, bend, kneel, stoop, twist, crouch, climb, balance, see, talk, hear, and manipulate objects. The position requires mobility including the ability to move materials, 5 lbs. or less daily, and 5-25 lbs. occasionally. This position requires both verbal and written communication abilities.

While performing the duties of this position, the employee is primarily working indoors in an office environment. The employee is not exposed to hazardous conditions. The noise level in the work environment is usually moderate and lighting is adequate.

Additional Posting Information

This is a Full-Time Classified, 40 hour per week (100%) position in the Allied Health Occupations department. Starting compensation is entry level for Group 5 on the 2019-20 Classified Salary Schedule.

Position is fixed-term/grant funded through 6/30/20, renewed annually, with continuation dependent upon funding. Fixed-term positions do not accrue seniority.
