Requirements

Georgetown University's Center for Global Health Science and Security conducts original research to help decision makers worldwide build sustainable capacities to prevent, detect, and respond to public health emergencies. The Center's multi-disciplinary team develops evidence for action, providing decision makers with the tools they need for sustainable capacity building to prevent, detect, and respond to public health emergencies.

The Operations Manager ensures that all inter- and intra-departmental operations are structured in a correct, cost effective, efficient, and timely manner in alignment with specifications and procedural requirements. S/he improves operational management systems, processes, and best practices that guarantee organizational well-being. The incumbent provides high-level administrative, operational, and marketing support as needed. The position will be for one-year, renewable pending funding. Additional duties include, but are not limited to:
  • Manages departmental financials, including core budget distribution, invoicing, and payment processing, supporting the team in reimbursement claims and processing core purchases.
  • Purchases materials, performs ad hoc office management duties, and coordinates holiday / travel schedules, supporting with travel plans.
  • Ensures that the team follows proper procedures in timely fashion.
  • Reserves rooms and other spaces for internal and external Center events, as well as contributes towards the achievement of GHSS's strategic and operational objectives.
  • Sets and monitors KPI's, devises strategies for improving performance standards, and solicits feedback on GHSS tool usage, providing analysis for avenues of improvement.
  • Implement project oversight & priorities overview, and communicates regularly to team, stakeholders, and University.
  • Ascertains and anticipates resource needs against budgetary constraints and advises leadership accordingly.
  • Implements a marketing plan by planning, coordinating, and executing external communication via monthly newsletters, website updates, and social media (Twitter), with the objective of increasing awareness of GHSS achievements.
  • Analyzes engagement across media channels (social, website, conferences, newsletter, online webinars), to improve upon marketing strategy.
  • Works with the GU marketing team and GU IT team for cross-departmental announcements, implementing updates on website & social media.
    Requirements and Qualifications
    • Bachelor's Degree; BS degree in operations management or related field preferred
    • 3-5 years of relevant experience and exceptional analytical, written and verbal communications skills
    • Ability to manage multiple tasks simultaneously and problems-solving skills
    • Proven work experience as operations manager / resource manager / project manager / senior administrative manager
    • Adequate knowledge of organisational effectiveness and operations management
    • Budget development and oversight experience
    • Excellent IT skills (including MS Office, and databases)
    • Desirable Experience with Google Drive, Sheets, Forms, Docs, Analytics, Mailchimp, Simple HTML
    • Ability to effectively communicate with all levels of the organisation
    • Leadership and organisational skills
