Job Description:

Summary of Position:
A Graduate Admissions Counselor gets to be part of a dynamic team of dedicated professionals committed to recruiting and enrolling students for the various graduate programs at Mills College. This is a hands-on and interactive role focused on strong relationship building with prospective students, faculty, and staff. This position advances the mission and strategic plan of the College by helping to attract qualified students to Mills, and by reinforcing efforts that build awareness of our programs.

Essential Job Functions:

  • Play an important role in the lives of students looking to make positive changes in their careers by engaging with them at the exploration stage and supporting them through their entire admissions journey (full-cycle recruitment).
  • Proactively and reactively correspond with prospective students daily, mainly via phone, email, in-person, or video conference appointments to understand their interest, answer their questions and assist them in learning more about Mills graduate programs.
  • Engage with prospective candidates through staffing tables at graduate school fairs, conferences, college campus visits, and other relevant events which support targeted recruitment efforts for our graduate programs.
  • Share the responsibility of answering the main admission phone line and graduate email inbox to effectively and quickly answer prospective student questions. Maintain a 24-48 hour response time (business days) in alignment with our commitment to superior customer service.
  • Absorb as much information as possible about our graduate programs and the student experience through conversations with faculty, staff, students, and alumni; reviewing program materials such as brochures and websites; attending program specific events on and off-campus; and through analyzing admissions data.
  • Host and attend Office of Admissions events, including but not limited to Graduate STEM Visit Days, Arts Open House, Admitted Student Weekend, and events sponsored by Lorry I. Lokey School of Business and School of Education
  • Build trust and develop strong relationships with faculty and staff in the graduate departments to understand their needs and collaborate with them in recruitment and enrollment efforts. Participate in strategy and implementation of recruitment ideas based on the unique factors of each graduate program.
  • Learn to navigate our CRM (Technolutions Slate) to track students through the stages of the application process (inquiry, applicant, admit, deposit) and engage in appropriate contact with students to support them through the process.
  • Collaborate with admission staff and program chairs to develop tactics to reach enrollment goals by analyzing data and the effectiveness of past tactics, understanding program needs and student profiles, and identifying challenges and opportunities across graduate admission and industries affiliated with our graduate programs.
  • Perform initial screening calls with new inquiries to assess interest, timeline and main questions or concerns.
  • Develop and manage communication plans accurately and effectively, with an aim to portray the unique selling points of each graduate program and proactively answer student questions and concerns.
  • Perform additional recruitment duties as assigned.

    Requirements:

    Required Knowledge, Skills, and Abilities

  • Excellent interpersonal, verbal, and written communication skills, including group presentation skills. Professionalism with written and oral correspondence with internal and external individuals.
  • Superior customer service skills, focused on student satisfaction that involves tact, patience, and courtesy.
  • Capacity to handle multiple projects and tasks simultaneously, while managing the priorities and needs of various departments.
  • Ability to maintain a high level of accuracy and confidentiality concerning student records and concerns.
  • Independent execution of tasks, while collaborating with rest of admission team on strategy.
  • Collaborative attitude and ability to create and sustain effective working relationships with faculty and staff across a variety of academic disciplines and within a diverse and multicultural environment.
  • Adeptness in learning program intricacies, offerings and culture and admissions policies and processes.
  • Proficient in computer usage, including but not limited to Microsoft Office (Excel, Word, PowerPoint), Google Apps, CRM or similar database and tracking systems, manipulation of spreadsheets, touch typing, and more.
  • Event planning experience, or an interest in learning, a plus.
  • Intermediate knowledge of Social Media, including Facebook, Twitter, and Instagram
  • Strong written and verbal communication skills

    Required Education and Training:

  • Bachelors degree from an accredited college or university.
  • 1-3 years of work experience, preferably in an education or sales setting.
  • Valid drivers license; ability to travel off-campus.

    Preferred:

  • Proficiency with Slate Technolutions
  • Knowledge of graduate admissions cycles, processes, procedures and data
  • Knowledge of graduate admissions recruiting and communications strategies
  • Knowledge of financial aid policies and cycles
  • Multilingual capabilities

    Physical, Mental and Environmental Demands:

  • The position is located in an office environment on a college campus.
  • Recruitment may include travel via car and airplane to staff recruitment tables (2-4 hours of standing/sitting) and occasionally transporting marketing materials, often lifting heavy objects between 20-50 pounds.

    Additional Information:

    This is a full-time, exempt position with an FTE of 1.0. Salary is $49,920.00 per year, and includes an excellent benefits package including medical/dental/vision/life/LTD insurance, 403(b) retirement plan with college-matching after 6 month qualifying period, 10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+ plus, 12 sick days and 17 paid holidays (subject to annual review). Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period. Voluntary benefits include: pet insurance, long-term care insurance, legal-assistance insurance, cellular provider discounts and computer hardware discounts.
