Education Assistant

The Education Assistant is responsible for providing excellent customer service support and completing general administrative tasks in a fast-paced environment. He/she serves as the first point of contact for multiple departments and commonly works directly with students and visitors.

Position responsibilities role include, but are not limited to:

  • Greet, direct, and maintain solid relationships with students and visitors to the Education Department by handling questions and concerns with speed and professionalism.
  • Provide administrative support to Dean including maintaining calendar, preparing and submitting expense reports, travel arrangements, and type and file meeting minutes
  • Assist new students with ordering of textbooks, collection and processing of application fees, providing necessary classroom folders/binders, and assisting with any other questions
  • Assists graduating students with completing and submitting affidavits of graduation and NCLEX registration
  • Administer drug screens for prospective students and update admissions with results
  • Coordinate fingerprinting process with Board of Nursing and Admission department
  • Maintain and update forms and update syllabi as needed
  • Collect, review, and analyze instructor evaluation results completed by students
  • Schedule panel interviews for AND applicants and provide Dean with student file
  • Maintain student health records and ensure they are current with immunizations. Refer to outside health clinics as needed
  • Meets and greets students at orientation, ensures TB results, and goes over student handbook as needed
  • Maintain faculty files and ensure current with ABHES data sheet, CEUs, licenses, etc.
  • Prepare and distribute adjunct and independent contractor contracts; process payments with payroll and accounts payable departments (system office)
  • Work with various vendors to order and distribute textbooks and exit exams
  • Assist with Education Day including preparing and printing agenda and handouts, table set up, and clean up
  • Prepare building for day including unlocking gates and labs, turn on message board, and setting up tables and chairs as needed
  • Assist with agency reports including ABHES, TWC, and SER annual reports
  • Provide research support for the Director of Education as needed
  • Perform other administrative duties including answering phones, revise & printing student handbooks, filing, copying, prepare FedEx mail, and loading postage
  • Handling other projects as assigned by the Director of Education.

Position Requirements:

  • Positive, student-focused mindset including excellent customer and problem solving skills.
  • Ability to multi-task in a fast-paced environment.
  • Ability to work independently and take ownership for projects.
  • Strong written and verbal communication skills, with a comfort level of communicating with students and all levels of faculty and staff.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Microsoft Outlook.

Position Qualifications:

  • High School diploma or equivalent required, associate-level coursework or higher preferred.
  • One to three years of administrative-related work experience with a minimum of one year in a professional office environment required.

  • Ability to perform sedentary work
  • Ability to stand for extended periods of time
  • Ability to operate office equipment including computer, printers, and phone
  • Ability to lift objects (up to 25 lbs.)
