Requirements

The Research Administrator & Business Operations Specialist provides administrative support to ensure the efficient operation of the Marra Lab and provides administrative and financial support more broadly to the other College science departments. S/he is responsible for the accurate data entry, and/or review, of the following financial transactions: Requisitions, Purchase Orders, Expense Reports, Miscellaneous Supplier Invoice Requests, ProCard allocations, Accounting Journals, Revenue Generating Agreements, and check/cash deposits. Reporting to the College Finance team, the incumbent has additional duties that include but are not limited to:
  • Ensures that transactions entered or reviewed are in compliance with university policies and processed in accordance with campus and school best practices.
  • Attaches and/or reviews supporting documentation for all financial transactions, ensuring documentation is accurate, complete, and clearly demonstrates support for the financial transaction.
  • Communicates with departmental administrators and other GMS financial initiators if supporting documentation is not sufficient.
  • Liaises with department stakeholders to assist in the completion and submission of supplier contracts.
  • Applies a knowledge of relevant university contract and procurement policies to provide guidance to departments on information to solicit from vendor, informing the appropriate forms to be submitted with the contract to University Financial Affairs.
  • Provides departments with monthly status updates regarding the reallocation of ProCard transactions, working with administrators and cardholders to ensure all transactions are reallocated in a timely manner and that proper documentation is obtained as part of the reallocation/reconciliation process.
  • Processes and tracks requisitions and purchase orders, preparing documentation as well as processing and tracking employee reimbursements.
  • Processes tracking vendor contract requests and expenses, submitting and tracking journal transfers.
  • Manages monthly budget reconciliation (BAR) process for all funds - including running regular reports to review activity, reconciling activity, forecasting balances and making necessary corrections.
  • Prepares budget to actual financial reports, monitoring and preparing sub-contractor reports, and preparing sponsored financial reports.
  • Assists the PI with research reporting, renewals, no-cost extensions, and other award modifications, as well as with all permit requirements and reporting.
  • Oversees employee, postdoc and student personnel action items - including advertising for hiring and processes associated with employment.

Qualifications
  • Bachelor's degree in Biology, Ecology, Conservation Biology, or other related fields ideal; master's degree preferred
  • At least 2 years of applicable work experience, preferably in a higher education setting, required; related work experience in post-award sponsored research management preferred
  • Demonstrated financial accounting skills to enable account reconciliation and financial and programmatic report production
  • High level of proficiency in Excel and expertise in Microsoft Office required
  • Demonstrated ability to work collaboratively and effectively within a team
  • Detail-oriented and highly organized
  • Demonstrated ability to be able to manage multiple projects simultaneously and on deadline
  • Excellent verbal and written communication skills
