Job Description Summary

The Student Records Specialist provides many varied and detailed, data-entry services in the Records Office with a primary focus on accurate student accounts that span the wide range of a student’s life with the college (from acceptance through alumni status).

Essential Duties and Responsibilities:

•Upon implementation, oversee the waitlist process during student registration, adding students to courses from the waitlist and communicating to students of their responsibility for now being placed into the class.
•Help any students who want to audit a course. Communicate with the instructor and student to ensure approval and add the student as necessary to the course.
•Oversee the tuition charge check report to verify that students are showing the right charges for their student record status.
•Process withdrawals for students who are withdrawing from classes within the established guidelines set forth by the school.
•Manage curriculum variances inputting the appropriate data onto the student record so that the degree audit system works well and picks up on the variance applied. Communicate with deans and department chairs as needed to secure their approvals prior to processing.
•Perform any adds and drops on student registration records to non-HS students.
•Oversee the transcript data-entry process to ensure that proper data-entry was performed and has been applied to the student record.
•Oversee the change of address updating process that impacts a student’s tuition. Provide consistency for good customer service to all students.
•Process credits for prior-learning certifications of students and ACE testing credit.
•Process the initial inputting of graduation application data in Banner including the degree program of the student and the name preferred for the diploma.
•Edit the college catalog ensuring ADA compliance with the document
•Edit the Records Office webpages to keep information up to date
•Maintain attentiveness to the Records Inbox. Forwarding messages to appropriate office personnel as needed and responding as needed to constituents.
•Perform reprints of individual diploma orders
•Initiate the Action Calendar for the department and distribute to the campus community when finalized.
•Perform Dean’s and President’s List end of term processing to ensure that the Dean’s letter are sent to students and that the President’s list is in the hands of the President’s Office.
•Oversee course scheduling for all Michigan State University and Ferris State University courses.

Required Qualifications

•Associate’s Degree
•2-3 years or more of office experience in an office setting
•Excellent written and oral communication skills

Preferred Qualifications

•Bachelor’s Degree
•Experience using Banner
•Prior experience in a college setting
•Knowledge of modern office practices, procedures, and equipment
•Accurate keyboard skills and proficiency with Microsoft Office
•Experience in meeting schedules and time lines by planning and organizing work
•Experience working in a demanding environment that requires a high degree of multi-tasking with minimal supervision

The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
