Position Summary:

Work is performed under the supervision of the Disease Prevention Division (DPD) Newborn Screening (NBS) Laboratory Directors at the Wisconsin State Laboratory of Hygiene (WSLH); this position provides complex administrative support to the Newborn Screening Laboratory and its Co-Directors.

The Medical Program Assistant/Associate/Senior will coordinate and perform a wide range of duties to provide clinical laboratory administrative support to the NBS Department. This position has administrative core responsible for facilitating communications and serving as the liaison between staff, faculty, hospitals, clinics, midwives, vendors, and others that may come in contact with this department. As a front line direct administrative contact for incoming calls and other communications exercising the highest level of discretion in the handling of questions and the dissemination of highly confidential information, incumbent uses a thorough knowledge of the organization and independent judgment to direct calls. Knowledge of newborn screening process and medical genetics terminology is required.

This position researches issues, compiles and summarizes information as requested by the NBS Co-Directors for assessing issues, effectively communicating with persons external to the university. This position assists in the management of the complex appointment schedules for the NBS Co-Directors using independent judgment in scheduling. This position will also perform literature searches and assist with grant application documentation. The incumbent must have the ability to maintain confidentiality, deal with the diverse elements of academic and clinical laboratory environments and the willingness to manage competing priorities.

This position requires the ability to function independently in planning domestic and international travel arrangements of the NBS Co-Directors' participation in various state and national committees and conferences, as well as other staff participants in conferences/meetings, as required. This position works directly with visiting fellows, residents and professionals, including international visitors, ensuring all travel and lodging accommodations made adhere to the required UW policies and procedures.

This position will have the sole responsibility for the NBS office administrative activities to support approximately 25 staff comprised of management and clinical staff.

Other duties include the use of word processing, advanced computer skills, knowledge of English grammar to prepare and/or edit correspondence, educational materials, conference posters and web pages; management of the NBS and Biochemical Genetics departments' websites and preparation of all materials on their pages; daily management of Auto-Fax program for expediting submitter/provider test result reports; daily management of NBS specimen courier service; management of all purchasing of NBS laboratory supplies, chemicals, instrument service contracts, as well as office supplies; management of NBS department's document control system, iPassport/OnBase; manage the distribution of NBS Program educational materials; administration of NBS department's midwife submission and outreach policies; management of midwives' newborn screening MOUs; management of all daily routine office duties for the NBS department and its Co-Directors. These duties are all performed at the request and under the guidance of the NBS Co-Directors.

BA , BS, or Associate degree, preferred, not required, in Healthcare Administration, Public Health, Communications, Biology, Education and/or related field.
Minimum 1-3 Years administrative work experience or relevant work experience in a University or healthcare setting
