Under the general supervision of the Dean of Trade, Industry, and Apprenticeship, the Administrative Assistant is responsible for providing support services and performing a wide variety of support duties. Primary areas of responsibility include support for the Deans, Faculty, and students and visitors of the Trade, Industry, and Apprenticeship, and Business teams.

Essential Duties and Responsibilities

The following duties are normal for this position. The ordering of the duties and responsibilities do not represent a rank order of said duties and responsibilities. These are not to be construed as exclusive or all-inclusive. Other duties will be required and assigned.

  1. Lead projects, as assigned, by researching information, developing action plans, assigning tasks, following up on actions, and compiling and effectively communicating results.
  2. Provide administrative office support for the deans by processing reservations, scheduling meetings, and maintaining multiple calendars.
  3. Process purchase orders, payment authorizations, travel requests, and expense reimbursements. Order and maintain office, classroom, and lab supplies.
  4. Assist faculty in coordinating advisory committee meetings for trade, industry, and business programs; provide public notice for meetings; arrange meeting logistics; record, maintain and distribute meeting notes; and maintain accurate member lists.
  5. Schedule and facilitate access to computer labs and computer carts
  6. Assist visitors at the front desk with accurate information. Make visitors feel welcome and valued while on college premises.
  7. Assist with informing students of classroom locations and instructor offices, changes in room assignments, and instructor absences.
  8. Provide administrative support to other areas of the college as needed.
Qualifications

Required Qualifications:

  • Administrative Professional Degree or equivalent. In evaluating candidates for this position, Nicolet may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of the position. Education may be substituted for experience, or experience substituted for education.
  • A minimum of two years of work experience in an office or educational setting, customer service, or project management position.
  • Ability to communicate effectively orally and in writing.
  • Ability to interact effectively with employees, students, and the general public.
  • Proficiency in MS Office Word, Excel, Publisher, and demonstrated ability to learn other software packages as needed.
Preferred Qualifications:
  • Experience in producing and maintaining accurate records.
  • Knowledge of office practices, procedures, and purchasing procedures.
  • Demonstrated ability to successfully schedule and organize events.
  • Strong customer service skills.
  • Experience in managing a variety of tasks simultaneously.
  • Ability to work a flexible schedule that may include support for evening and weekend college events.

  • The employee must demonstrate strong attention to detail, and must be able to perform complex tasks without error.
  • While performing the duties of this job, the employee will be exposed to normal office conditions and usual office equipment such as telephone, personal computer, printers/copiers, reports, files, and video/camera equipment.
  • The employee will be constantly required to sit, talk, hear, and type/write.
  • The employee will be frequently required to stand, walk, touch/handle/grasp (using hands and fingers), and reach with hands and arms.
  • The employee must occasionally bend or squat and lift and/or push up to 25 pounds of general office items.
  • This position requires regular and punctual employee presence.
Other

Compensation:
The full pay range is $20.84 to $27.55 per hour. The typical starting range is $20.84 to $22.52 per hour, commensurate with qualifications and experience. Includes a comprehensive benefits package.
