Residential and Dining Enterprises (R&DE), a department within Stanford University, operates a number of different lines of business serving students, faculty and staff. Those lines of business relate to the development, construction, day-to-day management, maintenance, and renovation of over 300 housing facilities across campus, as well as food and food-related offerings within a variety of cafes, dining halls, catering, concessions, and vending across campus. There are many ancillary services that support these core businesses. Each of these lines of business requires different financial needs, including financial planning, budgeting, accounting, business analysis, reporting, and process improvement. Residential & Dining Enterprises, the largest auxiliary organization at Stanford University, supports the academic mission of the University by providing the highest quality services to students and other members of the university community. R&DE has an annual operating budget of over $270 million, oversees a 5 million sq. ft. physical plant across the campus, provides housing for over 12,000 students, serves over 18,000 daily meals at 30 dining and retail locations and over 500,000 meals at Athletic Concessions events, and hosts 20,000 conference guests annually. R&DE comprises 1100+ staff in the following divisions: the Office of the Senior Associate Vice Provost (SAVP), Student Housing Operations, Stanford Dining, Stanford Hospitality & Auxiliaries, Stanford Conferences, and a team of R&DE strategic business partners: Finance & Administration, Human Resources, Information Technology, Maintenance Operations and Capital Projects, and Strategic Communications.







JOB PURPOSE:

To primarily support the financial operations of Stanford Hospitality and Auxiliaries, a self-sustaining business unit that generates revenues from retail cafe and vending food operations, stadium concessions, catering services, and a campus hotel. The Financial Analyst will work closely with Food Service and Hospitality Operators to provide finance and accounting support and also cross train with and provide backup support to Stanford Conferences Finance team.

JOB RESPONSIBILITIES:

  • Run reports from multiple hospitality systems (POS, inventory, event management, etc.) to book journals into the G/L
  • Oversee third party vendor contracts - calculate commissions, send invoices, and make disbursements
  • Review accuracy and compliance of expenses and process reimbursements of employees
  • Prepare journal entries to ensure that revenues and expenses are booked to proper accounts; participate in month end close and financial reporting
  • Maintain and produce weekly flash reporting to provide business units with financial data and metrics and assist business operators in understanding the financials
  • Produce variance reports and detailed monthly transactional reporting
  • Perform quarterly balance sheet reconciliations and ensure accuracy of accruals
  • Collect and consolidate business information for weekly business optimization reporting
  • Maintain check deposit log and make timely deposits to bank
  • Perform monthly bank reconciliations
  • Assist in additional special projects and analytics as assigned
  • Some administration duties are also required
  • Experience or enthusiasm for working in the Hospitality Industry

PREFFERED QUALIFICATIONS:
  • 1-2 years of experience working in the Hospitality industry
  • Excel Macros,VBA, SQL, or additional advanced financial modeling skills
  • Accounting experience and preparation of journal entries
  • Familiarity with audit and compliance
CORE DUTIES*:
  • Perform and design ad hoc analyses of large complex data sets: reconcile complex accounts. Identify and resolve complex issues which may span multiple areas.
  • Construct and assemble data for budgeting and decision making; develop conclusions, and present high level summary of recommendations. May develop annual budget for individual department/unit.
  • Conduct analysis and resolution, and recognize exceptions. Participate in developing solutions that may require policy changes or the development of new processes; maintain broader organizational perspective in decision making.
  • Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. May manage compliance program for area of responsibility, and create complex compliance reports.
  • Develop reports and presentations of complex financial data and metrics for management and third parties.
  • Participate as a member of a project team; support new initiatives. Make decisions determining approach to managing and completing processes.
  • Contribute to unit and organization strategy; assist in the development of change management plans and materials as needed.
  • Develop and maintain desktop procedures and process documentation for area of responsibility.
  • Define requirements, develop and implement complex test cases, perform system testing and analyze results.
  • Participate in critical analysis of existing systems and processes, and identify opportunities for process improvement.
  • Provide consulting advice to client group(s); serve as a resource on matters that require specific technical, financial, or subject matter expertise; support negotiations with external partners.
  • May supervise, train, coach, and review the work of other staff, as needed. Contribute primarily through applying individual expertise.

    MINIMUM REQUIREMENTS:




    Education & Experience:

    Bachelor's degree and four years of relevant experience or combination of education and relevant experience.




    Knowledge, Skills and Abilities:
  • Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.
  • Demonstrated knowledge of financial systems; internet and computer literacy.
  • Knowledge of Generally Accepted Accounting Principles (GAAP).
  • Strong communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal and external audiences and client groups.
  • Demonstrated project management skills and ability to contribute to or lead part of a multi-functional team. Certifications and Licenses: None
    PHYSICAL REQUIREMENTS*:
  • Constantly sitting.
  • Frequently perform desk-based computer tasks, use telephone, writing by hand, sort/file paperwork.
  • Occasionally stand/walk, lift/carry objects weighing 11-20 pounds.
  • Rarely reach/work above shoulder.
