Position Summary

This position serves as the lead contact for pre-award and post-award grant administration between the Department of Marine Sciences and UGA’s Office of Sponsored Projects Administration, funding agencies, and faculty researchers. Candidate should have or should obtain DLSA status in order to provide high level proposal assistance to faculty and staff for external grant funding. Candidate should be familiar with policies of major federal and non-federal sponsors and coordinates re-budgets, no-cost extensions, pre-awards, and pending awards. The incumbent can articulate regulations governing research administration, is knowledgeable of the relevant policies of major federal and non-federal sponsors, and handles complex pre- and post-award tasks, including calculating indirect cost, as well as coordinating cost share efforts and sub-awards. Candidate provides direction and oversight for post-award activities, such as monitoring grant awards for accuracy, compliance with standards, and providing post-award accounting updates and guidance.

Knowledge, Skills, Abilities and/or Competencies

*Knowledge of pre-award and post-award regulatory requirements and familiarity with grant policies, particularly relating to NSF.
*Knowledge of general accounting principles, practices and standards.
*Excellent computer skills, including high-level experience with Excel and QuickBooks.
*Thorough understanding of UGA accounting procedures and UGA systems.
*Excellent verbal and written communication skills.
*Ability to prioritize, multi-task, and consistently meet deadlines.

Assists departmental faculty with the development, preparation, and submission of grant proposals.

Pre-award responsibilities include helping PI’s create budgets and budget justifications, reviewing subaward budgets, and cost share requirements. Provides faculty with information regarding guidelines, policies, salaries, benefits rates, indirect cost rates, etc. Ensures that grant applications meet agency guidelines, are entered into the eResearch portal, and routed in a timely manner. Obtains DLSA status for submitting proposals directly to sponsors. Serves as primary liaison between departmental faculty and the Office of Sponsored Projects Administration. Monitors proposal statuses and submits Pre- or Pending Award Requests as needed. May also assist faculty in identifying potential funding opportunities.

Responsible for the financial management of all externally-funded grants for the department.

Post-award duties include reviewing and approving grant expenditures, checking for compliance; balancing grant projects to UGA project status reports monthly and providing accounting reports to faculty; preparing various reports for PIs as needed. This position works closely with the Business Manager III and Senior Accountant to keep them informed about faculty, staff, and graduate assistants who need to be paid from various grants, so that funding change requests can be submitted well ahead of payroll deadlines, and monitors faculty effort written into grant budgets to ensure that faculty are paid accordingly from each of their grants. Monitors grant end dates to ensure that grant funds will be spent out accordingly or that No-Cost Extensions are requested as needed. Assists faculty with reports, budget projections, and other duties as needed. Works with SPA post-award staff regarding budget amendments, reports, and final invoices.
