Full-time/ 40 hours/ 12 month

Clark University seeks to fill the position of Assistant to the Associate Provost and Dean for Professional Education. The successful candidate will provide primary support to the Associate Provost (who also serves as the Dean of the School of Professional Studies). These duties will include, but are not limited to, budgeting, scheduling, event planning and execution, time-management, internal and external communications, website maintenance, travel planning, and general project management. The Assistant acts as the initial point of contract for external visitors, faculty, students and the general public when they are accessing the Associate Provost’s office.

Duties and Responsibilities include:

•Manage and schedule the Associate Provost’s meetings; communicate information to internal and external audiences

•Manage and maintain various groups and governance bodies under the umbrella of the Associate Provost, including faculty groups, community groups and grant agency partners.

•Oversee the preparation and gathering of materials for presentations, reports and special events involving the office.

•Maintain a consistent and professional communication flow between and among various constituencies of the office, including faculty, students, trustees, community partners and other university officials.

•Plan and execute events central to the operations of the office such as faculty professional development events, industry round tables and other public facing events as required.

•Maintain the office’s supplies, equipment, etc.

•Coordinate with other staff and academic support personnel how best to trouble shoot student and faculty issues as they arise.

•Serve as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities

•Provides editorial support office and report correspondence.

•Proofread and edit material for grammatical and factual accuracy. Tracks copy through various editing and production stages.

•Maintains office files, databases and organizes physical and electronic materials important for office and university operations.

•Greet visitors. Answer and screen telephone calls. Assess nature of business. Responds to requests for information and aids; screen and respond to mail and email.

•Format, proofread, and edit correspondence, reports, manuscripts, grants, and other material; Assemble attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures

•Compose substantive correspondence and written material

•Coordinate travel arrangements

•Schedules and coordinates meetings and appointments

•Takes minutes

•Perform additional functions incidental to office activities

Qualifications

•Bachelor’s degree or equivalent, preferred.

•3-5 years’ administrative experience in similar or related work

•Excellent oral and written communication skills

•High level of initiative, exceptional organizational skills, and the ability to adapt to a dynamic and fast paced environment

•Working knowledge of business, accounting or commercial procedures with detailed knowledge in these areas

•Excellent computer skills, including Microsoft Office and facility with Clark’s accounting and student registration systems

•Strong basic mathematical skills to manage office budgets

•Must be able to work independently to meet multiple time-sensitive deadlines

•Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus

•Occasional work during evening and weekend hours

This is a full-time, 40 hours per week, 12 month position with excellent benefits, which include employee and family tuition benefits, 4 weeks’ vacation, generous retirement plan, free use of campus fitness center and many more.
