Bucknell University is excited to announce that we are accepting applications for a Program Assistant position within the Freeman College of Management. This role will support both the Co-Director of the Student Managed Investment Fund (SMIF) and the Editor of “Equality, Diversity and Inclusion: An International Journal (EDI Journal).” This is a casual position that will report to two faculty supervisors for approximately 10 hours per week each, or 20 hours per week in total.

The person fulfilling this position will have a proven ability to manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal constituents, and organize and maintain effective administrative processes. In addition, this position requires limited evening hours to staff events as well as limited overnight travel for student trips. Above all, the individual will demonstrate the ability to work independently, take initiative, exercise independent judgment, and get things done in a fast-paced environment.

SMIF Assistant Job Duties:
1. Provide administrative support and oversee the daily operations of SMIF including the coordination of three professors and two sections of students, arranging meetings, and preparing other program related materials.
2. Serve as a main point of contact for operations of the programs both internally and externally to Freeman College, demonstrate exceptional customer service skills such as tact, professionalism, teamwork and friendliness.
3. Coordinate preparation, setup, and logistics for programs, including symposia, conferences, field trips, performances, etc.
4. Arrange guest speaker travel and itineraries; process honoraria.
5. Maintain SMIF electronic signage near Moriarty Investment Lab within Taylor Hall. Work with Student Managed Investment Fund (SMIF) course students as needed to ensure the SMIF electronic board is updated.
6. Work with the Dean’s office and students to purchase, prepare, and distribute thank you gifts for guests.
7. Plan own workload, prioritize key tasks, and ensure the appropriate allocation of time and effort to achieve the required results while working independently.
8. Assist with the programs’ budgets, including monitoring and tracking expenses for items paid and pending payment, budget reconciliation, resolve issues, and assist with developing budget projections, collect information for budget development. Ensure accuracy and compliance with approved budget.
9. Attend and assist with field trip logistics. Require travel beyond the regular business day or overnight outside of regular business hours (examples of locations include: NYC, DC, Boston).
10. Work a flexible schedule that aligns with guest speaker and program events on evenings and weekends as needed.

Editorial Assistant Job Duties:
1. Serve as the main point of contact for the journal. Liaise with authors, reviewers, guest editors, editorial team, and board members. Demonstrate exceptional customer service skills such as tact, professionalism, and friendliness.
2. Work with the Editor and assist reviewers to ensure the review process is completed on time, and copy for all issues is delivered to the Publisher on time and according to schedule.
3. Use Scholar One Manuscripts (online platform) to check that all submissions are anonymous for double-blind peer review. Monitor the submission of articles and communicate with submitting authors through Scholar One Manuscripts.
4. Assist with promotion of relevant content on social media with Publisher.
5. Perform basic proof reading and possess good knowledge of academic referencing (e.g., APA, Harvard style).
6. Assist with journal and faculty research related administration, including budget and expense claims.
7. Provide Editor with research support, including data collection, library research, survey coding, transcriptions, report writing, and other duties as assigned.

May perform other duties as assigned. Regular and timely attendance is required. The expected workload is 10 hours per week for the SMIF and 10 hours per week for EDI Journal.

Minimum Qualifications:
• Bachelor's degree and at least 1 year of administrative/office experience or, in lieu of a bachelor's degree, 5 years of related work experience.
• Demonstrated knowledge of computers and software including word processing, spreadsheet, email, and calendaring applications
• Strong written and verbal communication skills
• Exceptional customer service skills, strong attention to detail, and ability to prioritize deadlines and successfully manage multiple priorities
• Ability to handle sensitive confidential information in a responsible and appropriate manner
• Proactive approach to projects, problem solving, communication needs, and planning
• Must be able to work independently as well as in a team environment
• Demonstrated ability to positively interact with a wide range of individuals and a commitment to diversity and inclusiveness manner
• Interest in learning or proficiency managing social media accounts (FB, Twitter, Instagram)
•Valid PA driver's license

Physical Demands:
Physical demands include those working in a typical office environment which may include: the ability to sit at a computer for extended periods of time; moderate noise (i.e. business office sounds with computers, phone, printers, light traffic; ability to regularly sit stand, talk, hear, see and use hands and fingers to operate office equipment such as computers, telephones, keyboards; ability to stoop, kneel, light to moderate lifting; and travel to various cities.
