Administrative Coordinator for the Vice Dean of the Wharton Undergraduate Division

Job Description

The position provides high-level administrative support and project management for the Vice Dean of the Wharton Undergraduate Division. The incumbent will engage in a wide range of activities including, but not limited to, ensuring all communications and correspondence from the Vice Dean's office are timely professional, and responsive, manage, plan, and schedule meetings, ensure the Vice Dean is prepared for meetings and conferences, and maintain a high level of confidentiality in regard to privileged information.

Responsibilities

  • Prioritize Vice Dean’s schedule. Decide which matters/items needs the Vice Dean’s immediate attention, can wait, can be handled by others or must be handled by the Vice Dean
  • Prepare the Vice Dean for meetings, conferences and presentations. This may involve doing research, preparing presentations, confirming appointments, coordinating materials, etc.
  • Communicate on behalf of the Vice Dean. Respond to emails, draft letters and presentations. This involves understanding the Vice Dean’s approach and communication style
  • Provide administrative support to the Vice Dean to assure that strategic and operational agendas of the Undergraduate Division are implemented in an effective and efficient manner
  • Manage, plan and schedule meetings. This involves coordinating multiple schedules
  • Serve as liaison between the Vice Dean and various internal constituencies, including faculty, senior leadership of Wharton and Penn, Career Services, and External Affairs
  • Serve as liaison between various external constituencies including the Board of Overseers, Wharton Undergraduate Advisory Board, potential donors in conjunction with External Affairs Affairs
  • Conduct research including benchmarking of other undergraduate business schools in preparation for the Vice Dean’s strategic plan
  • Serve as liaison to various external organizations including AACSB and NUBS
  • Perform additional duties as assigned

Qualifications

A Bachelor's degree, with 3-5 years of related experience or equivalent combination of education and experience. Experience within a college or university setting preferred.
