Job Description Summary

With close supervision, administer all financial and administrative operations for the School/Center. Work independently to manage, process, monitor and analyze revenue and expense transactions, purchasing card journals, weekly and monthly payroll and personnel activities, budget and forecast preparation and submission, expense reports and assets and work space updates. The incumbent will also manage and administer grants and contracts, monitors budgets, submits financial reports to corporate partners and funding agencies. Will generate monthly reports using Ben Financials or other financial systems and conduct monthly reconciliations. Ensure compliance of daily, monthly and annual financial policies and procedures, and meet all reporting requirements

Job Description

The Business Administrator is responsible for the management of all business & administrative functions for the Center for Interdisciplinary Research on Nicotine Addiction (CIRNA) under direction of the Manager, Admin. & Finance. This position will coordinate, monitor and process all transactions related to the Center’s financial activities including: A/P (PO, non-PO payments, & purchasing), new vendor set-up & individual service provider payments, journal entries, Concur – travel and expense management, grants management, facilities management and security, Workday management, and general office administration. BA will act as the liaison between the various administrative/business offices within and outside of PENN, including federal and private grants agencies, Research Administration, , Comptroller’s office & HCM.

This position will further be required to assist in daily operations, scheduling logistics (flights, lodging) for staff and visitor travel, securing conference and meeting spaces for invited guests and external advisory board meetings, filing of semi-annual progress reports and yearly progress reports for the Translational Center of the PENN Tobacco Center of Regulatory Science.


Qualifications
Associate's Degree or Two Year College with 3-5 years of related experience or equivalent combination of education and experience is required
