COLLEGE SECRETARY I FULL-TIME
KENNEDY KING COLLEGE
DUTIES & RESPONSIBILITIES:
- Types letters, memoranda and reports from rough draft; takes dictation.
- Maintains administrator’s daily appointment calendar, screens telephone calls, mail, and visitors.
- Reads reports and summarizes information to facilitate review by supervisor.
- Relieves administrator of clerical detail and minor administrative matters.
- Schedules and coordinates meetings as directed; maintains administrator’s office and confidential files.
- Composes correspondence relating to routine inquiries frequently without instruction or review; responds to requests for information from the public, college employees and students.
- Prepares purchase orders for office supplies and maintains related records.
- Supervises subordinate staff.
- Adheres to CCC Customer Service Excellence standards.
- Performs other duties as assigned.
Qualifications
- Graduation from high school or the equivalent is required Bachelor's degree preferred, supplemented by two years of progressively responsible secretarial or general office experience involving stenographic and clerical duties; or an equivalent combination of training and experience.
- Excellent knowledge of modern secretarial procedures and office practices. Considerable knowledge of Business English, grammar and spelling. Excellent knowledge of the operation of office equipment and the use of appropriate computer software.
- Ability to work and interact with the general public and college personnel administrators.
- Ability to plan, assign and review the work of subordinate staff. Ability to type a minimum of fifty words per minute.
- Excellent oral and written communication skills. Excellent organizational skills. Considerable computer and keyboarding skills.
