Your opportunity:

The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from inner city health, addiction medicine, global health, palliative care, immigrant and indigenous health, and far more.

As Program Assistant, you will play an instrumental role in coordinating the day-to-day operations and administrative functions of our undergraduate program. Your exceptional time management and organizational skills are critical in managing and balancing a robust course load in a deadline-driven environment. Your proven ability to maintain/shift focus in accordance with multiple conflicting priorities will enable you to efficiently and effectively support our students and faculty.

Your responsibilities will include:
  • Acting as the first point of contact, providing detailed information on program and course requirements
  • Liaising with students and faculty to coordinate program activities
  • Managing calendars, and scheduling site visits, committee meetings and travel and accommodations
  • Determining logistical details and activities for events and programming
  • Maintaining content on digital platforms
  • Liaising with stakeholders to coordinate space and resource requirements
  • Updating and maintaining records and generating reports


CampusEssential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum two years of relevant experience, preferably in a University, a teaching hospital or comparable environment
  • Experience in providing administrative and/or course support to an education program
  • Demonstrated experience supporting committees and coordinating events
  • Experience managing calendars on behalf of senior leadership and coordinating complex schedules, timetables and site visits
  • Experience maintaining websites and databases, and generating reports
  • Advanced skills in MS Office Suite
  • Proficient with learning management systems
  • Excellent oral and written communication skills
  • Strong interpersonal skills with the ability to exercise good judgment in dealing with faculty, staff and students
  • Excellent organizational and problem-solving skills
  • Ability to work in a collaborative environment that requires multi-tasking, managing competing demands and adaptability
