BASIC FUNCTION

The Assistant Director of Alumni and Parent Engagement will be responsible to lead the College’s off-campus alumni and parent engagement activities.  With a current constituency of more than 13,600 alumni and more than 8,000 past and current parents, the College, the CMC Alumni Association, and the CMC Parent Network sponsor a myriad of major programs that assist the College in carrying out its educational mission while providing continuing involvement and satisfaction for alumni, parents, and students. The Assistant Director will have primary responsibility for planning, marketing, and executing more than 100 off-campus engagement activities annually, managing the CMCAA Off-Campus Engagement Committee, managing a global volunteer network, and assisting with management of the Alumni Association and various engagement activities.

ESSENTIAL FUNCTIONS:

Reporting to the Director of Alumni and Parent Engagement, the Assistant Director will have overall responsibility for managing the activities of the College’s 19 chapters around the world. The Assistant Director will work with chapter leaders and other volunteers to develop and manage a comprehensive series of activities ranging from educational, social, family, community service, etc. for each chapter as specified in the Chapter Leadership Manual. In addition, this position will work with alumni and parent volunteers and staff to plan and execute off-campus activities in non-chapter areas around the world. Duties include creating compelling programing, developing strong marketing materials and social media campaigns to promote activities, and significant management of volunteers.

In conjunction with the Assistant Vice President for Alumni and Parent Engagement (AVP), provide management and oversight of the infrastructure and organization of the Claremont McKenna College Alumni Association. This includes, but is not limited to, supporting volunteer leaders, organizing and attending meetings, logistical support, administrative support, and planning and implementation of the Alumni Association’s strategic mission.

Collaborate with office leadership on the creation and implementation of an off-campus engagement strategy for alumni and parents.

Manage volunteers and volunteer training in relation to ImpactCMC Volunteer Weekend as appropriate.

Working with the AVP, create and manage Alumni Travel including Euromeet, Asiameet, Worldmeet, and other opportunities.

Work with volunteers including committees of the Alumni Association and Parent Network, class liaisons, reunion class chairs, and event hosts. Duties include planning and organizing Alumni Association and Parent Network meetings, program implementation, and leading the Off-Campus Engagement Committee for the CMCAA.

Support on-campus events as needed, including but not limited to, Alumni Weekend, Reunion Weekend (5-year), Family Weekend, Parent and Family Orientation, ImpactCMC Weekend, and class affinity programs.

Supervise the maintenance of web pages and event reservation/registration data using the College’s Raiser’s Edge database management system and Blackbaud NetCommunity online tools. Promote events and activities using social media and other resources.

Assist in all other activities of the Office of Alumni & Parent Engagement as needed, and be a contributing member of the College’s larger external relations and development activities, including assisting with plans and events for any campaigns and presidential travel.

Working with the Annual Giving staff, plan and coordinate fundraising activities related to promoting contributions at events and in soliciting volunteers.

Assist in the supervision and direction of support staff and student employees.

As necessary, act as liaison with vendors, other College departments, and the alumni/parent relations departments of other colleges.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES:  Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

A high level of proficiency in Word, Excel, Outlook and other Microsoft Office software and Adobe Creative Suite, plus ability to learn and adapt to new software.

Requires superior organizational skills, an ability to work independently with minimal direction.  Must be detail-oriented.

Requires excellent goal-oriented management skills.  Must have ability to work collaboratively and professionally with student employees and volunteers.

Flexibility and ability to juggle competing priorities and support numerous initiatives.

Requires strong interpersonal skills and an ability to interface professionally with alumni, parents, administration, faculty, and students.  Must have ability to work effectively with volunteers, with the donor community, with the academic community, and with colleagues.

Experience with database functions and queries, particularly with Blackbaud’s Raiser’s Edge.

Proficiency in the use of e-mail software and the ability to manipulate attachments.

Requires exceptional professional writing, editing, and analytical skills.  Must possess strong verbal skills.

Collaborative spirit and service-oriented attitude.

QUALIFICATION STANDARDS

EDUCATION:  Bachelor’s degree or equivalent combination of education and experience is required.

EXPERIENCE:  Three to five years of experience in a selective, private higher education external relations environment is preferred. Volunteer management experience preferred.

GROOMING AND APPEARANCE:  The Claremont Colleges seek to maintain a neat and professional image at all times.  Professional attire is expected.

LICENSES:  A valid driver’s license is required to drive College-owned vehicles and the ability to be insured under the College’s authorized driver’s policy. 

PHYSICAL REQUIREMENTS:  This position may require the ability to lift materials and supplies for events, such as floral arrangements, chairs, podium, etc., up to 50 pounds.

OTHER

HOURS: The regular hours for this full time position are 8:00 a.m. to 5:00 p.m., Monday – Friday. Holiday, weekend, and evening work hours will be required to manage volunteers.  Travel may be required.  Regular hours may vary due to needs of the College or division.

CLASSIFICATION AND STATUS:  This is a full-time, 12 month, exempt level, benefits-eligible position.

PHYSICAL REQUIREMENTS:           Heavy (up to 50 lbs.)
