The Department of Mechanical Engineering in the School of Engineering seeks a Graduate Admissions Officer to join its team. The Graduate Admissions Officer reports to the Director of Student and Academic Services.

The Graduate Admissions Officer is a key contributor to the Mechanical Engineering Department's Student Services Office. This position makes a direct impact by helping to bring the incoming graduate students to the top mechanical engineering department in the country. Under minimal supervision, the Graduate Admissions Officer will supervise, administer, implement and interpret university and/or department admissions policies and procedures.



Your responsibilities include:
  • Reporting to the Director of Student and Academic Services, and with minimal supervision,
  • Read, evaluate and make first level recommendations on graduate applications
  • Conduct informational sessions for individuals and groups of prospective students
  • Serve as a resource for other departments and offices, students, professional organizations, parents, and alumni as needed
  • Work closely with faculty to offer admission to PhD students, including offer letters, visas, and funding information
  • Travel to graduate student fairs to help recruit and diversify our incoming class of graduate students
  • Design programs and develop strategic plan to reach diversification goals
  • Become an expert in admissions related software applications: Admit, Admin, Admit Reader, and PeopleSoft in order to take advantage of the functionality and customize it for optimization
  • Assist with major events for the department including: Visit Day (50 prospective students), Admit Day (100 prospective students), ME Conference (500+ attendees), New student Orientation (200 students), and Commencement for 2,000 graduates and their guests
  • Manage all admissions related communications via phone, e-mail, and in person. Update website FAQs as appropriate. Problem solve issues with applications in a timely manner. Assist with visa processing and make sure the incoming students transition to Stanford smoothly.
  • Collaborate with the Product Design program to provide information sessions quarterly
  • Be an active contributor and member of the Graduate Admissions Committee
  • Manage the process of all decisions for 1,000 applications. Run and analyze reports on a frequent basis to keep Admissions Chair apprised of progress. Compile annual statistics.
  • Manage the Fellowship Allocation process for Stanford Graduate Fellowships, School of Engineering Fellowships, and external fellowships like NSF and NDSEG
  • Ensure that all financial aid information is processed and entered in a timely fashion
  • Manage the nomination process for SGF fellowships
  • Maintain and manage the fellowship account budgets
  • Maintain and manage the Graduate Admissions budgets
  • Supervise temporary and student workers, and possibly one full-time staff member
  • Other duties as needed
