The Office Administrative Associate A is the initial contact for incoming students within the Welcome Center. This position is responsible for creating exceptional experiences for all constituents by providing excellence in customer service, while providing support in the daily operations of the Welcome Center. Primary responsibilities include engaging and assisting incoming students with the steps to enrollment, scheduling placement tests and registration appointments, and other related tasks. This position also provides support in the implementation of the department’s recruitment plan with latitude for use of independent judgment in resolving routine problems that are central to the operation of the Welcome Center.

Specific Responsibilities

• Responsible for direct contact with prospective students and their family members, students, alumni, faculty, colleagues, and other members of the business community; in professional, courteous, and pleasant manner, while maintaining a professional appearance at all times.

• Provide quality customer service in responding to admissions and enrollment related inquiries from incoming students and their family members; redirecting to other College offices as needed.

• Provide information and assistance to incoming students regarding the various steps involved in the admissions and enrollment process.

• Provide administrative support in the day-to-day operations of the Welcome Center, exercising independent judgment to resolve problems and respond to shifting priorities, as directed.

• Maintain knowledge base regarding enrollment services to resolve basic questions and/or problems regarding Admissions, Financial Aid, Registration and academic support services.

• Provide clerical support in the implementation of recruitment plan and outreach activities, such as on-campus visits and open house events.

• Assist in the collection/analysis of data for walk-in students in the Welcome Center using Excel.

• Prepare and process forms, records and reports associated with daily operations of the Welcome Center using Word and Excel.

• Conduct telephone and email follow-up, in a professional manner, with incoming students through information received from inquiry and applicant pools.

• Perform assigned duties in a manner consistent with the mission, goals and core values of the College.

• Maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty and staff of varying social, economic, cultural, ideological and ethnic backgrounds.

• Perform other duties as assigned.

Minimum Qualifications

• High school diploma, or GED, with a minimum of six (6) years of clerical and administrative experience required; or an Associate’s degree with four years of clerical and administrative experience required.

• Previous work experience in a fast-paced, professional and customer-oriented environment required.

• Demonstrated excellence in customer service and professionalism to internal and external stakeholders (e.g. students, parents, faculty, and community partners) in person and via telephone required.

• Demonstrated ability to maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty and staff of varying social, economic, cultural, ideological and ethnic backgrounds by effectively using cross-cultural skills and abilities required.

• Excellent interpersonal, written and oral communication skills required.

• Demonstrated ability to perform multiple tasks with changing priorities required.

• Strong organizational and time management skills are required.

• Demonstrated proficiency with MS Word and Excel required.

Preferred Qualifications

• Previous experience working in a student services function within higher education preferred.

• Prior experience using an enterprise-wide system, such as Ellucian Banner or equivalent system preferred.
