PRIMARY DAILY RESPONSIBILITY:
Front-line customer service, transcript production, graduation back up.
This student Records Specialist assists the Office of Records and Registration with many vital functions. Provides customer service to internal and external clients through multiple means of communication, including face-to-face, via telephone and through email. This position produces and mails out official and unofficial transcripts for Lamar University (LU) and Lamar Institute of Technology (LIT), handles student questions, for both Lamar University and LIT, concerning transcripts, graduation, and other record related topics.
ESSENTIAL JOB FUNCTIONS:
•Customer service representative for LU and LIT Records Department
oDepartmental queue telephone calls
•Field questions from customers related to transcripts, graduation, verification of enrollment, and registration
•Manage all transcript requests – Produces and prepares individual and batch transcripts to be picked up, mailed, or sent via Fed Ex.
oOnline through Credentials Inc.
•Process archived transcript requests
•Maintain departmental email box
•Deliver and retrieve mail from the campus post office for Records Department
•Accept verification requests forms and pass on to the verification specialist
•Award and prepare certificates (print, stuff, label and mail) for the College of Education
•Process request for additional or replacement diplomas
•Update student records in Banner, such as remove holds, change of majors, minors, or concentrations, adding certificate of completion status for College of Business and College of Engineering
•Assist graduation staff with graduation and commencement processes, including data entry, preparing diplomas for pickup and delivery
•Complete special projects for the Records Department as requested, including running Argos reports
•Cross-train with other areas to ensure consistent adequate coverage
•Remain current with FERPA training and regulations and stay compliant
•Will work some evenings and weekends for commencement activities
High School Diploma or GED is required, degree preferred.
A minimum of two (2) years of customer service and computer work experience – preferably in an office setting, call center, or help desk environment. Excellent customer service skills and the ability to maintain effective working relationships with others. Computer experience including data entry and use of Microsoft Office Suite (Outlook and Excel) is required. Excellent organizational, communication, time management and interpersonal skills are a must.
This position requires independent judgement, efficiency and accuracy with a minimum amount of supervision. Must have careful attention to detail. The ability to communicate effectively both verbally and in writing is required.
Ability to work additional time occasionally and work Saturday graduations is a requirement.
